General Description
The Executive Assistant serves as the trusted assistant while providing high-level administrative support to the Senior Pastor. This position requires a cheerful, pleasant, experienced, and caring Christ-like spirit. A good sense of humor and the ability to effectively work within a diverse community is essential. This position requires the ability to anticipate needs, think critically, and offer solutions to problems with a high level of professionalism and confidentiality.
Essential Job Functions
- Act as a liaison and provide a wide variety of support and administrative tasks that facilitate the Senior Pastor's ability to lead the dynamic, growing effectively, and historic church , including assisting with special projects; designing and producing complex documents, reports, and presentations; collecting and preparing information for meetings with staff and key stakeholders; composing and preparing correspondence; maintaining contact lists; scheduling meetings; making travel arrangements; and completing expense reports.
- Serve as the primary point of contact for internal and external constituencies on all matters pertaining to the Senior Pastor , including those of a highly confidential or critical nature. Prioritize and determine the appropriate course of action, referral, or response, exercising judgment to reflect the Senior Pastor's style and organization policy.
- Work with the Executive Team to develop giving/stewardship /donor campaigns and engagement plans. Assist the Development staff and key volunteers with developing, executing, and evaluating strategies to engage individual donors through outreach, education, special events, and personalized relationship cultivation.
- Manage all aspects of the organization's office services. Evaluate and assist in developing office policies and procedures for improved workflow and anticipate future needs as the organization grows. Assist in the selection of vendors and purchase equipment, services, and supplies necessary for the operation of the organization.
- Manage information systems operations, including hardware, software, desktop support, internal telecommunications, and strategic systems development and planning. Supervise IT consultants. Prepare budget recommendations.
- Manage all forms of correspondence , including voicemail, e-mail, and regular mail as needed to ensure a smooth flow of communication to and from the members of the Executive Staff to the Senior Pastor.
- Oversee, develop, and execute all effective communication strategies , including building customer loyalty programs, brand awareness, and customer satisfaction.
- Plan and manage the design, content, and production of all marketing materials.
- Lead the marketing and public relations staff by creating communication and marketing strategies for new initiatives, products, launches, events, and promotions.
- Function as coordinator of logistics and events manager for all events, retreats, staff, and other meetings, etc.
- Perform other duties as assigned.
Education and Experience
- A bachelor's degree is required, preferably in business or a related field.
- A clear testimony of faith and a vital, personal, and growing relationship with Christian beliefs evidenced by attitude and behavior.
- Strong ability to execute work with a diversity, equity, and inclusion lens.
- Significant executive support experience, including supporting C-level executives. Nonprofit board experience is highly preferred.
- Expert proficiency with data management systems (i.e., Planning Center Online, Salesforce, etc.) and Microsoft Office and desktop publishing software; ability to design and edit graphic presentations and materials.
- Technical proficiency and problem-solving skills related to IT infrastructure, IT support and troubleshooting, and cloud-based environments (web-based applications).
- Strong verbal and written communication skills.
- Exceptional organizational skills and impeccable attention to detail.
- High degree of professionalism in dealing with diverse groups of people, including constituents, senior executives, staff, community leaders, donors, and funded partners.
- Ability to complete a high volume of tasks and projects with little or no guidance.
- Able to maintain high integrity and discretion in handling confidential information.
