    About the Role:

    We seek a highly organized and detail-oriented Executive Assistant/Accounting Admin to join our VIP Hospitality Group LLC team in Portland, OR (Beaverton). This role will support our executive team and assist with accounting tasks, making it an integral part of our operations. Our executive team is looking for an administratively strong individual who will take on projects and administrative duties so we can continue to grow.

    Responsibilities:

    Accept responsibility for administrative tasks including filing and recording insurance claims, responding to accountant inquiries regarding monthly receipts and topics, and other administrative duties across several departments.

    Supports design team in organizing files, setting up budgets, and creating project folders to track tasks and responsibilities.

    Follows the project plan, purchasing furnishings and other decor from preferred vendors (OSNE) at the project manager's request for renovated hotels.

    Participates in accounting team activities, including billing, invoicing, credit accounts, accounts payable, accounts receivable, and bank deposits.

    Directs office activities and functions to maintain efficiency, organization, and support of compliance with company policies and productivity.

    Maintains and orders office supplies.

    Acts as a back-up for payroll for Human Resources and learns the HRIS system to help managers throughout the company.

    Works closely with the Human Resources team on employee needs and provides better communication across the company.

    Maintains Google Drive records and documentation procedures, manages files, and helps the team determine better ways to record project files.

    Accepts tasks from managers on a long-term or short-term basis to support the team. This may include data entry, file organization, review of materials, and other duties as assigned.

    Helped coordinate office events as needed.

    Help post social media posts as requested by property locations, and for the corporate office.

    Create employee announcements for new hires, schedule and plan birthday lunches for the office, and track anniversaries.

    Performs other related duties as assigned.

    Requirements:

    Prior experience as an admin, bookkeeper, or office manager

    Proficiency in Microsoft Office, including Excel and accounting software

    Proficiency in Google Drive and Documents is a plus

    Strong organizational and time management skills

    Excellent communication and interpersonal abilities

    Ability to prioritize and multitask in a fast-paced environment
