About the Role
Seeking a highly organized and proactive Executive Assistant for the corporate office in Tulsa, Oklahoma, to provide administrative support for key company executives and Senior Management with confidentiality and discretion. The candidate should have excellent communication skills, maintain a professional appearance, be highly dependable, have problem-solving skills and the ability to anticipate needs and requirements. The role includes managing administrative tasks for multiple departments. The Executive Assistant will also coordinate meetings and events, as well as book travel. The ideal candidate will have exceptional attention to detail, be extremely organized, and be flexible in managing multiple tasks and priorities. The position reports to the Senior Vice President and Chief Financial Officer
Core Responsibilities
- Provide high-level executive and administrative support to multiple departments
- Discretion and professionalism in handling sensitive information
- Provide assistance as needed for the coordination of documents for the quarterly and annual communications to the Board of Directors and its Committees
- Maintain and update corporate Minute Books, as well as Officer & Director Listing, for multiple subsidiary companies
- Coordinate and prepare quarterly and annual corporate Treasury Compliance and communications for the company
- Answer corporate and investor relations phone lines
- Manage the scheduling and coordination of Critical Dates Calendar for company executives
- Manage multiple internal office communications, functions, vendor accounts, coordinating office supply purchases for multiple departments, invoice processing and logistics
- Responsible for expense reporting, including receipt collection, preparation and submission of expense reports for multiple executives and senior management
- Coordinate and manage all updates and changes to the Investor Relations section of the company website
- Coordinate and submit company Press Releases to NASDAQ and Business Wire, including providing subsequent internal and external communications
- Coordinate meetings and conferences
- Coordinate scheduling of quarterly Investor earnings conference calls
- Coordinate, arrange, and manage comprehensive travel arrangements and bookings, with detailed itineraries for executives
- Provide communication and reminders as needed on all tasks and travel
- Coordinate lunch for internal meetings, as necessary
- Manage and maintain off-site storage records and retrieval
- Preparation of the annual Investor Relations budget
- Manage and maintain copies of professional services agreements
- Other tasks as assigned
Qualifications
- Minimum of 5+ years' experience as a corporate executive or administrative assistant
- Possess a high degree of professionalism, confidentiality and discretion
- Exceptional organizational skills, highly detail-oriented and coordinated, ability to multi-task with great follow-up skills
- Experience in managing multiple priorities, administrative coordination, and logistics
- Excellent written and verbal communication skills
- Proven ability to work independently while managing multiple priorities effectively
- Proven ability to be flexible in accommodating the needs of others on behalf of the company
- A notary public, or willingness to become a notary
- Strong Proficiency in Microsoft Office suite
- Full-time onsite role in Tulsa, Oklahoma
