The Bryan Coward Real Estate Team is looking for an Executive Assistant to streamline our operations and support our agents. Your role will be to take on crucial back-end and daily administrative tasks so that our agents can focus on delivering outstanding results for clients. We’re seeking an exceptional candidate with a proven track record in office administration who is ready to embrace challenges, take initiative, and grow within a dynamic team environment. This role will require a proactive problem solver with exceptional communication skills, meticulous attention to detail, and the ability to manage high-level systems and operations. You will also serve as the right hand of the business owner, ensuring smooth daily operations and long-term business growth. Compensation & Benefits • Salary Range: $40,000 - $50,000 • Paid Time Off (PTO) • Bonus potential (considered after a 60-day period) • Rapid growth potential within the team • Path to become Director of Operations Responsibilities: • Provide comprehensive support to Bryan Coward and the team by handling both business and personal administrative tasks. • Maintain and update our database management systems to ensure accuracy and efficiency. • Screen and direct phone calls, manage correspondence, and handle inquiries with professionalism. • Coordinate meetings, appointments, and travel arrangements to optimize daily operations. • Prepare reports, presentations, and briefs to keep the team informed and on track. • Assist multiple agents by managing administrative tasks, enabling them to focus on client engagement and sales. • Enhance client interactions by supporting transaction processes and communications throughout the closing process. • Oversee day-to-day office functions, track expenses, and help develop effective budgeting strategies. • Support lead management systems and assist with social media and marketing efforts to promote listings and the team brand. • Embrace checklists, systematic processes, and detailed paperwork to ensure nothing is overlooked. • (Eventually) Participate in hiring, training, and holding team members accountable. • Maintain books, handle payroll, track commissions, and manage budgets. • Document all systems and standards to ensure consistency and efficiency. Qualifications: • 2-3 years of Real Estate Executive Assistance or administrative experience. • Exceptional organizational skills and strong attention to detail. • Tech-savvy with a quick ability to adapt to new systems and office applications. • Proven multitasking capabilities with a knack for prioritizing a diverse workload. • Self-motivated and able to work independently while being a vital team player. • Superior oral and written communication skills with a professional demeanor. • Strong problem-solving skills, discretion, and the ability to handle confidential information. • A customer-focused mindset with a “can-do” attitude—ready to do whatever it takes to support the team. • Bookkeeping skills preferred. • Real estate license preferred or willingness to obtain one (with reimbursement provided). • Spanish-speaking is a plus!
