Executive Assistant The Central Florida Diaper Bank is seeking a dynamic and highly organized Executive Assistant whose lives in the local Central Florida area to support our Executive Director and leadership team. In this role, you will help amplify our mission by managing critical administrative tasks, anticipating needs, and ensuring smooth day-to-day operations.
About the Role As the Executive Assistant, you will act as the right hand to the Executive Director, helping maximize their time and focus on the organization’s priorities. You'll be responsible for coordinating schedules, managing communications, supporting special projects, and fostering relationships with key stakeholders. This is a fast-paced, rewarding role for someone passionate about making a positive community impact.
Key Responsibilities
Provide high-level administrative support with professionalism and discretion.
Manage sensitive matters confidentially and independently.
Maintain the Executive Director’s calendar, schedule meetings, and resolve conflicts.
Prepare correspondence, reports, presentations, and other documents.
Arrange travel, accommodations, and expense reports.
Serve as a liaison to the board of directors and external stakeholders.
Assist with event planning, including diaper distribution events.
Conduct grant and sponsorship research.
Oversee inventory input and tracking.
Coordinate partnerships with community organizations.
Utilize a CRM system (Airtable preferred) to manage data and relationships.
Support the organization’s social media initiatives by creating, scheduling, and managing content.
Respond promptly to emails, texts, and calls, including outside regular business hours.
Perform other duties as assigned.
Skills & Qualifications
Associate’s degree required; Bachelor’s preferred.
Minimum 3 years of experience as an Executive Assistant or in a similar role.
Social media management experience is required.
Experience using CRM systems; Airtable preferred.
Bilingual (Spanish preferred).
Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
Exceptional written and verbal communication skills.
Strong organizational and problem-solving skills.
Flexibility to work evenings and weekends for events or meetings.
Ability to lift up to 50 lbs.
Work experience in working with low-income and at-risk populations, is a plus.
Must be willing to travel within and out of Orange County to perform required tasks -- providing your own means of reliable transportation. Must have a valid Florida Driver’s License, a good driving record, and automobile insurance when your personal vehicle would be used for travel.
Ability to maintain Florida driver’s license throughout employment is required
