We are seeking an Executive Assistant to join a leading Real Estate Team in Newton, MA. This role is pivotal in enabling our agents to focus on sales by managing daily administrative operations. The ideal candidate will demonstrate a talent for establishing and executing office procedures. While a background in Real Estate is advantageous, it is not mandatory. The successful candidate will exhibit a strong commitment to precision, detail, and open communication in all tasks. Compensation: • Salary Range: $65,000 - $75,000 • Generous Paid Time Off (PTO) • Stipend Benefits Available • Bonus Potential • Opportunities for Growth Responsibilities: This person's primary responsibilities include, but are not limited to: • Assisting and supporting the owner in all business and personal areas requiring attention. • Overseeing the virtual transaction coordinator to ensure all systems are followed from contract to closing. • Coordinating and setting up Open Houses. • Assisting with social media and email marketing efforts. • Managing direct mail campaigns. • Planning and coordinating client events. • Meeting agents, clients, vendors, and ancillary services at listings and other properties. • Maintaining and updating database management systems. • Screening and directing phone calls, and distributing correspondence. • Handling requests and inquiries with professionalism and efficiency. • Scheduling meetings and appointments. • Producing reports, presentations, and briefs. • Assisting multiple agents with various needs to support their success. • Ensuring clients have an extraordinary experience throughout the process. • Tracking expenses accurately and assisting with effective budgeting. • Supporting lead management efforts. • Marketing listings, business services, and the team through social media and other channels. • Guiding clients through the closing process. • (Eventually) Hiring, training, and holding team members accountable. • This person will LOVE checklists and "to-do" lists and will love paperwork. Qualifications: • Proven experience as an executive assistant or related field. • Real Estate, mortgage, or escrow experience preferred. • Outstanding organization. • Strong attention to detail. • Bookkeeping Skills. • Tech savvy; up-to-date with the latest office gadgets and applications and able to navigate new systems quickly. • Able to multitask and prioritize daily workload - can work on multiple projects at once. • Able to work independently to support a team and appropriately manage time. • Strong written and verbal communication skills. • Strong problem-solving abilities. • Discretion and confidentiality. • Customer service focus. • College degree and social media experience preferred. • Candidate will need to be willing to obtain a real estate license upon hiring (Agent will reimburse). • Comfortable handling strong personalities. • Must be thorough and LOVE to-do lists. • This person must have a CAN and WILL DO attitude. • This person will do anything and everything they need to in order to free their Agents up to sell.
