    Position Summary

    We seek a highly organized and proactive Executive Assistant (EA) for the CEO to join our team. This individual will serve as a strategic partner to the CEO, ensuring seamless daily operations, managing executive communications, and supporting high-level decision-making processes. The EA will handle confidential matters, oversee administrative tasks, and enhance efficiency in a fast-paced environment.

    Key Responsibilities

    Provide high-level administrative support to the CEO, including managing schedules, appointments, and travel arrangements.

    Serve as a point of contact for internal and external stakeholders, ensuring professional and timely communication.

    Prepare communications, reports, presentations, and correspondence on behalf of the CEO.

    Assist in coordinating and executing strategic initiatives, ensuring alignment with company goals.

    Manage confidential information with discretion and professionalism.

    Conduct research, gather data, and provide insights to support decision-making.

    Oversee special projects, track progress, and ensure timely completion.

    Coordinate board meetings, executive meetings, and company events, including agenda preparation and follow-ups.

    Assist in operational and financial tasks, including budget tracking and expense management, and provide ongoing administrative assistance to Sales/Marketing, HR/Accounting, and Operations.

    Must be willing to learn the CEO’s habits to help prioritize activities, review and eliminate unnecessary emails and solicitations, and demonstrate discretion in setting meetings while offering recommendations and judgment calls to streamline day-to-day engagements.

    High detail, likability, and a strong memory are required to coordinate appointments and scheduling properly.

    Working closely with the CEO and learning preferences to improve effectiveness. Informing and or reminding about upcoming commitments. This person should apply a learned discernment and develop an understanding of the company's "pulse" in an ongoing effort to keep the CEO focused on critical issues taking place. Over a short time, developing anticipatory needs to aid with successful meetings and appointments, etc.

    Qualifications and Skills

    Must be a self-starter, imaginative, and creative with good verbal and written communication skills.

    1+ years of experience as an Executive Assistant, preferably supporting a C-suite executive.

    Experience in the insurance or financial services industry is a plus.

    Exceptional organizational and time management skills, with the ability to multitask effectively.

    High level of professionalism and discretion when handling sensitive information.

    Ability to thrive in a fast-paced, dynamic environment.

    Strong problem-solving skills and attention to detail.

    Must be able to perform the essential functions of the position while maintaining a cooperative, team-oriented spirit as evidenced by the workforce served.
