    We are a high-end custom construction company seeking an organized, proactive, and detail-oriented Executive Assistant to support the CEO in managing daily operations and strategic initiatives.     Key Responsibilities:

    Executive Support:

    Manage the CEO’s calendar, schedule meetings, and coordinate travel arrangements.

    Prioritize and manage incoming communications (emails, phone calls, etc.), ensuring timely responses.

    Prepare and organize materials for meetings, presentations, and reports.

    Maintain confidentiality and professionalism in handling sensitive information.

    Project Coordination:

    Assist in the planning and execution of special projects and company initiatives.

    Liaise with various departments to ensure deadlines are met and project goals are achieved.

    Track progress of key projects and follow up on action items.

    Office Management:

    Ensure the CEO’s office runs efficiently by managing office supplies and equipment.

    Oversee office operations, including coordinating meetings, events, and conferences.

    Assist with onboarding new staff and maintaining employee records as needed.

    Client & Vendor Relations:

    Act as a liaison between the CEO, clients, contractors, and vendors.

    Handle client and vendor inquiries and ensure smooth communication between parties.

    Assist with client meetings, ensuring the CEO is well-prepared and informed.

    Document Management:

    Prepare, edit, and proofread internal and external documents, presentations, and contracts.

    Organize and maintain both digital and physical filing systems.

    Draft and review correspondence on behalf of the CEO.

    Qualifications:

    3+ years of experience as an executive assistant, preferably in a construction or real estate environment.

    Exceptional organizational, time-management, and multitasking abilities.

    Strong written and verbal communication skills.

    Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and project management software.

    Ability to maintain confidentiality and exercise discretion.

    Strong attention to detail with a proactive approach to problem-solving.

    Ability to work independently and collaborate with various teams.

    Education/Certifications:

    Bachelor’s degree in Business Administration, Construction Management, or related field (preferred).

    Physical Requirements:

    Ability to work in a standard office environment.

    Ability to attend off-site meetings as required.
