With the help of this individual, the agents are hoping to focus more on selling real estate and much less on the back-end/daily administrative tasks. We are looking for an exceptional candidate who is willing to go above and beyond – just like other members of this team. In this role, you will be responsible for managing and executing all tasks related to building and maintaining a relationship with our CRM. The ideal candidate will have experience leading multiple client engagement activities, developing marketing materials, and managing a variety of administrative functions with a strong focus on efficiency and accuracy. The ideal candidate will possess a background in real estate; however, this is not a requirement. The candidate should have a proven track record of creating and implementing systems and procedures in an office atmosphere. This person will have a strong sense of urgency and must enjoy "to-do lists." The ideal candidate will work well with minimal supervision, gradually taking on more responsibility and leadership within the team. Compensation: • Salary Range: $50,000 - $60,000 • Paid Time Off (PTO) • Stipend Benefits Available • Bonuses - Considered after a 90-day period • Growth potential Responsibilities: • Oversee and execute CRM tasks, including updating contact information, managing calls, sending postcards, emails, letters, and ensuring client data is accurate and actionable. • Plan and manage client-focused events (seminars, appreciation events, housewarmings, send-offs), handle client gifting (birthday/anniversary gift cards), and manage feedback, reviews, and newsletters. • Create marketing materials via Canva (brochures, flyers), manage client promotional apps (HomeBot, Lolo), promote properties and events through social media and online platforms, and coordinate raffles or sweepstakes. • Manage the listing and closing process, including coordinating property photography, listing on MLS, scheduling client property searches and showings, and maintaining strict attention to detail to keep all parties aligned through to closing. • Assist the owner and agents with business and personal needs, including database management, handling correspondence, scheduling meetings, preparing reports and presentations, and managing budgets. • Oversee day-to-day office tasks, transaction coordination, and listings management while maintaining referral and client relationship systems. • Track client feedback via surveys, analyze data, and implement actionable improvements to enhance client experiences and operational efficiency. • Manage social media platforms (Facebook, Instagram, YouTube) for business marketing and client engagement. • Assist with hiring, training, and holding team members accountable as needed. Qualifications: • Proven track record in managing and converting CRM data into actionable results or sales. • Strong experience in creating systems and processes to drive efficiency and productivity. • Excellent communication skills (100% fluent in English, both verbal and written). • Expertise in creating marketing collateral and presentations using tools like Canva. • Outstanding organizational skills with exceptional attention to detail. • Ability to manage multiple tasks efficiently, prioritize daily workload, and work independently to support a team. • Proficiency in property listing platforms like MLS is preferred. • Familiarity with real estate operations or a related field is a plus. • Tech-savvy and adept at learning new systems quickly; proficiency in PowerPoint, Excel, Word, Canva, and ChatGPT is essential.
