    Job Summary

    We are seeking an Executive Assistant to support our CEO in managing his daily operations, communication, and priorities. This individual must have excellent organizational and multi-tasking skills to keep pace with the fast-paced and creative event environment. Some travel may be required to support on out-of-town events.

    Responsibilities

    Administrative Support: Manage and prioritize the CEO’s schedule, appointments, and travel arrangements.

    Communication: Handle correspondence, emails, and phone calls on behalf of the CEO, ensuring professionalism and confidentiality and reporting information to the CEO

    Meeting Preparation: Organize and prepare agendas, materials, and presentations for meetings; take and distribute detailed minutes.

    Project Coordination: Assist with the planning and execution of high-level projects, including tracking deadlines and ensuring production timelines are met.

    Liaison Role: Serve as the primary point of contact between the CEO and internal teams

    Event Coordination: Support event-related activities, including logistics, vendor management, and on-site coordination when necessary.

    Office Management: Assist with various office tasks, including ordering supplies, organizing files, and maintaining systems for efficiency.

    Problem-Solving: Proactively identify challenges and present solutions to support the CEO and the broader team.

    Qualifications

    Bachelor’s degree in Business Administration, Communications, or related field (preferred).

    3+ years of experience as an Executive Assistant or in a similar administrative role.

    Exceptional organizational and time-management skills.

    Strong verbal and written communication skills.

    Strong grasp of Microsoft Office Suite, Google Workspace, and other productivity tools.

    Comfortable learning new systems and leveraging technology to improve efficiency.

    Ability to maintain confidentiality and exercise discretion.

    Flexible and adaptable to shifting priorities in a fast-paced environment.

    Willingness to travel occasionally to support the CEO and company events.

    Experience in event production or a related industry is a not required but a plus.
