    Executive Assistant to UHNW Family

    About the Role

    We are a prominent UHNW family based in Manhattan seeking an experienced and impeccably discreet Executive Assistant to provide high-touch personal and executive support across all aspects of our private and professional lives. This role is ideal for a polished, proactive, and service-oriented professional who thrives in a dynamic environment where excellence, confidentiality, and loyalty are paramount.

     

    Core Responsibilities

    1\. High-Level Personal & Executive Support

    • Manage complex calendars for principal family members, including travel logistics (private and commercial), personal appointments, and global itineraries.
    • Coordinate private aviation, ground transportation, and bespoke concierge services.
    • Execute high-priority personal errands with discretion and efficiency.
    • Interface on behalf of principals with private banks, legal teams, household staff, and vendors.

    2\. Household & Property Oversight

    • Supervise operations of a luxury residential property, including oversight of household staff and third-party service providers.
    • Ensure the residence is always guest-ready and maintained to five-star standards.
    • Manage vendor contracts, renovations, repairs, and regulatory compliance.

    3\. Administrative & Financial Management

    • Monitor personal and household budgets, track expenses, and manage reimbursements with precision.
    • Prepare reports, summaries, and correspondence with utmost confidentiality.
    • Maintain meticulous digital and physical filing systems for estate, insurance, travel, and medical documentation.

    4\. Event & Lifestyle Coordination

    • Organize private events, intimate gatherings, and formal social occasions from concept to execution.
    • Manage luxury vendor relationships (caterers, florists, stylists, sommeliers, etc.) and ensure seamless guest experiences.
    • Maintain detailed records of preferences, dietary restrictions, and VIP protocols.

    5\. Liaison & Communication

    • Serve as the principal's right hand and primary gatekeeper, managing incoming requests, filtering communications, and representing their interests.
    • Cultivate professional, tactful relationships with external advisors, family members, and confidential partners.

    Qualifications

    • Experience supporting UHNW individuals or families in a private household, family office, or similar high-pressure setting is preferred. 
    • Exceptional judgment, discretion, and emotional intelligence.
    • Impeccable organizational and time-management skills; thrives on precision and order.
    • Tech-savvy with fluency in Microsoft Office Suite, Google Workspace, and scheduling/travel platforms.
    • Polished communicator with refined etiquette and a calm demeanor under pressure.
    • Flexibility to be available after hours or during emergencies (rare but required).
