    Executive Assistant - Your Job Duties:

    As the Executive Assistant, you will be the first point of contact with Firm clients, ensuring top-tier customer service and freeing up the CEO to continue to grow the firm.

    You will:.

    • Serve as the first point of contact with Firm clients that visit the office, send email inquiries and call in, providing customer service, answering their questions and providing support (ie: helping them log into their online client portal)
    • Manage the CEO calendar – ensure she is where she should be when she is supposed to be there, schedule and confirm appointments, troubleshoot scheduling conflicts
    • Assist with incoming email volume into the Firm including new client inquiries, existing client customer service matters and correspondence, client check ins
    • Assist in tracking and managing projects, deadlines and deliverables (i.e. requests for information, signatures on client documents and engagement letters, follow ups for information, collection requests)
    • Support some billing tasks in QuickBooks online (may include assisting with invoicing, collections follow ups and invoicing questions)
    • Enter data into the Firm’s CRM system
    • Assist with documenting Firm processes and procedures that the firm needs to continue to grow

    A successful Executive Assistant is someone that is an organizational guru and enjoys being “the glue” that brings the office together and keeps work moving forward. (And being an animal lover doesn’t hurt!)

    Executive Assistant – You Bring (Required Skills, Experience & Team Fit)

    • You are experienced with managing a busy leader’s calendar and strategically prioritizing crucial tasks
    • You enjoy being the “go to” for client requests, ensuring clients feel heard and receive a quick response and a positive customer service experience
    • You are a master pivoter and juggler, and able to operate in a high- volume environment some chaos (and bring order to the chaos!)
    • You are flexible with the ever-changing priorities of working in a small office / enjoy working in a small business
    • You possess the ability to independently troubleshoot and thrive with minimal oversight or resources- when issues arise, you find a solution
    • You have prior experience with calendar management, high volume email and the MS Suite of products (Word & MS Excel (complex spreadsheets, formulas)
    • You are tech-savvy and enjoy learning new technologies / not daunted by technology
    • You have prior experience with QuickBooks (desired, not required)

    You will work 100% in office in Roseville, California.

    Your compensation will be $26 to $34 per hour (or $54,000 to $71,000 on salary), depending on experience. Part-time option is available as well, based on your unique needs and schedule.
