As Executive Assistant I , you will work directly with our Chief Technology Officer (CTO) to manage daily operations, optimize scheduling, facilitate communication, and assist with both professional and personal responsibilities.
Since this is a new function , you will have the opportunity to help shape processes and best practices for executive support at DataMap. This requires a self-starter who can build structure, anticipate needs, and create efficiency.
Our goal is to train you into a highly effective executive assistant who not only manages tasks but enhances the CTO's productivity and focus.
✅ Calendar & Scheduling Management – Organize meetings, prioritize time-sensitive requests, and manage executive availability.
✅ Communication & Correspondence – Draft and manage emails, screen calls, and ensure smooth executive interactions.
✅ Task & Workflow Organization – Track priorities, deadlines, and key deliverables.
✅ Travel & Logistics Coordination – Plan executive travel, manage itineraries, and adjust plans as needed.
✅ Expense & Budget Tracking – Process expense reports and track business-related purchases.
✅ Meeting Preparation & Follow-Up – Compile materials, take meeting notes, and follow up on action items.
✅ Confidentiality & Discretion – Handle sensitive business and personal matters with absolute professionalism.
✅ Personal Assistance – Coordinate personal appointments, manage household logistics, and handle occasional errands.
Since this is a new role at DataMap , we are looking for someone who can grow with the position. High-performing Executive Assistant I hires can quickly advance into:
✔ Executive Assistant II – Managing more complex scheduling, projects, and strategic initiatives.
✔ Senior Executive Assistant III–V – Supporting multiple executives and optimizing executive operations at scale.
✔ Chief of Staff – Leading executive operations, company-wide initiatives, and strategic planning.
✅ Associate's degree required (Bachelor's preferred) in Business, Communications, Administrative Studies, or a related field.
✅ Highly organized with strong attention to detail.
✅ Proactive self-starter who can create structure in a new role.
✅ Strong written and verbal communication skills.
✅ Comfortable with Microsoft 365, Google Suite, and task management software.
✅ Ability to maintain confidentiality and handle sensitive information.
✅ Strong time management skills in a fast-paced environment.
