Title: Executive Assistant II

Direct Supervisor: Chief of Staff
We are seeking a highly organized and proactive Executive Assistant II to provide direct support to the Chief of Staff, while also assisting the CEO and other senior executives. This role plays a critical part in ensuring the smooth operation of executive-level activities and requires exceptional attention to detail, discretion, and a customer-focused attitude.
Key Responsibilities
- Manage calendars and schedule meetings for the CEO, executives, and team members.
- Prepare and organize meetings, including setup, internal communications, reports, and presentations.
- Maintain organized filing systems for electronic and physical documents, records, and reports.
- Serve as company office tour guide and coordinate client visits that highlight company culture, amenities, and key departments.
- Support event planning, including company meetings and team-building activities.
- Maintain and track financial records, including expenses, invoices, and reports.
- Update and manage data in company databases, HRIS, and project management tools.
- Ensure data accuracy and completeness in reports and documentation.
- Handle additional ad hoc projects and duties as needed.
Qualifications
- College degree in Business Administration, Communications, or a related field, or equivalent combination of education and relevant work experience.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and Google Workspace.
- Experience with project management software and tools (Miro, Asana) highly preferred
- Experience in a SaaS environment highly preferred
- High attention to detail and problem-solving skills.
- Ability to handle sensitive information with confidentiality and discretion.
- Excellent verbal, written and interpersonal communication skills
Schedule:
- Non-Exempt, Part-time, 30 hours a week
