    The Executive Assistant (EA) supports the leadership team at Unique Finance by managing administrative tasks, scheduling, communication, and organizational duties. The mission of this position is to enhance efficiency by ensuring that leadership is well-prepared, organized, and informed of key responsibilities. The EA should be proactive, anticipating needs to streamline operations and maximize productivity. Responsibilities: Schedules & Arrangements: • Maintain and coordinate calendars to prevent conflicts. • Organize office meetings, team activities, and professional engagements. • Handle all aspects of travel (business trips, family vacations, airfare, car service, dinner reservations, activities while there). • Register for conferences and industry-related events. • Make sure to RSVP to any event and keep the owner in the loop of any additional tasks that come along with the event: Attire, Bios, Goodies, and Gifts. Correspondence & Communication: • Manage and triage emails, ensuring timely responses. • Create and track tasks in Asana or other project management tools. • Screen and prioritize calls and messages. Office Assistance: • Proofread and check documents for accuracy (grammar, dates, figures, etc.). • Assist in preparing reports and meeting materials. • Handle office supply orders as needed. • Address minor IT issues or coordinate with IT support. • Update and maintain records in SharePoint and other platforms. Project Management: • Attend and document meeting notes, ensuring follow-ups are scheduled. • Assist in coordinating reports and documentation for leadership review. • Track and manage assigned projects to completion. Marketing & Networking Support: • Organize and maintain networking contacts. • Prepare thank-you notes and follow-up correspondence. • Assist with event planning and coordination as needed. Personal Management • Schedule personal appointments (doctor, vet, etc.). • Manage household projects (i.e., cabinet refresh, outside projects, organize and arrange for estimates, “go to” person for contractors). • Manage, track, and log expenses and receipts. • Manage personal Calander. • Manage (locate, schedule, pay, oversee the work of) services/vendors such as Housekeeper, Chef/meal prep/meal delivery, Car service, Handyman, and Landscaping. • Grocery shopping for household items, meals, and “fast and fresh healthy snacks” on occasion. • Running errands (pick-ups, drop-offs). • Sort, scan, and get rid of mail. • Laundry: Pick up and drop off dry cleaning as needed. • Party coordination. • Dinner party management. • Party planning. • Guest list coordination. Qualifications: • Experience in an executive assistant or administrative role preferred. • Strong organizational and communication skills. • Proficiency in Microsoft Office and SharePoint. Compensation: $55,000 - $60,000 yearly
