We seek a proactive and detail-oriented Administrative Associate to support our Founder and CEO. This role will involve managing the CEO's inbox, responding to emails, distributing tasks to the team, overseeing customer experience projects, and assisting with special projects. The ideal candidate will be organized, resourceful, and able to handle various administrative tasks efficiently. Responsibilities: Inbox Management: • Manage the CEO/Founder's inbox, prioritize emails, and ensure timely responses. • Draft and send emails on behalf of the CEO/Founder. • Organize and maintain email correspondence and documentation. Meeting and Call Support: • Attend calls and meetings to take detailed notes. • Submit tickets to the team based on discussions and follow up on action items. • Schedule meetings and calls as needed. Task Distribution • Distribute tasks to team members based on their skills and workload. • Ensure clarity in task assignments and deadlines. • Follow up with team members to track task progress and completion. Customer Experience Projects • Assist in planning and executing customer experience initiatives. • Gather and analyze customer feedback to improve services. • Coordinate with various departments to enhance customer satisfaction. Special Project Research Assistance • Provide administrative support for special projects, including research, coordination, and execution. • Prepare reports, presentations, and other documentation as required. • Assist with event planning and logistics for company events or meetings. General Administrative Support • Maintain the CEO’s calendar, schedule appointments, and arrange meetings. • Organize and maintain files and records, both physical and digital. • Handle travel arrangements and itineraries for the CEO. • Assist with online purchases for gifts for clients and company team members. Qualifications: • A bachelor’s degree in business administration, management, or a related field is preferred. • Proven experience in project coordination, administrative support, or a similar role. • Excellent organizational and multitasking skills. • Strong written and verbal communication abilities. • Ability to handle confidential information with discretion. • Strong problem-solving skills and attention to detail. • Ability to work independently and as part of a team. Compensation: $8 - $9 hourly
