We are seeking a top-notch Executive Assistant to support our team in various administrative tasks. As the Executive Assistant, you will play a crucial role in ensuring the smooth operation of our team and providing exceptional support to our senior staff. Responsibilities: • Weekly Landlord Report with Comparable Apartments: Prepare and distribute a comprehensive report on a weekly basis, providing valuable insights and market information to our team and landlords. • Weekly Real Estate Hotsheet Management: Keep our hotsheet active and up-to-date, ensuring that all junior agents are accountable for previewing it regularly. • Hosting Team Meetings: Coordinate and organize team meetings, ensuring that all team members are present and actively engaged. • Schedule Management: Keep track of everyone's schedules and ensure that we are fully covered at all times, making necessary arrangements and adjustments. • Agent Reports & VA Reports: Assist in preparing reports for agents and virtual assistants, providing them with valuable data and analysis. • P&L Report / Quickbooks: Assist in managing financial records, including generating P&L reports and using Quickbooks for accurate bookkeeping. • VA Management: Manage the hours and payments of virtual assistants, ensuring smooth operations and timely compensation. • Office Management: Take complete ownership of managing our 21st Street office, ensuring it is well-organized and running efficiently. • Pre-Hiring Interviews: Conduct interviews and assist in shortlisting candidates for various positions within the team. • Full & Complete Airbnb Management: Oversee the management of our Airbnb listings, ensuring that our rooms are always filled and guests have a positive experience. • Airbnb Check-ins: Be available to assist with Airbnb check-ins as needed, ensuring a seamless and welcoming experience for our guests. • Email & Calendar Management: Handle email correspondence, filter spam, and bring attention to important emails. Manage calendars, schedule appointments, and coordinate meetings. • Departmental Support: Serve as a resource for team members, answering daily questions and providing assistance as needed. • Monthly Newsletters: Create and distribute newsletters to clients and agents, keeping them informed about team updates and market trends. • Monthly Real Estate Newsletter: Assist in the creation and distribution of newsletters specifically targeted towards clients and agents associated with Desmond. • Social Media Management: Manage social media accounts and serve as the voice of our brand, ensuring consistent and engaging content. Qualifications: • Proven experience as an Executive Assistant or in a similar role, preferably within the real estate industry. • Excellent organizational and time management skills, with the ability to multitask and prioritize effectively. • Strong communication skills, both written and verbal. • Proficiency in Microsoft Office Suite, including Word, Excel, and PowerPoint. • Familiarity with Quickbooks or other accounting software is a plus. • Ability to maintain confidentiality and exercise discretion when handling sensitive information. • Strong problem-solving skills and the ability to work independently with minimal supervision. • A team player with a positive attitude and a commitment to providing exceptional support. Compensation: $16 - $25 hourly
