Job Title: Executive Assistant
Location: Dothan, AL
Position Overview:
We are seeking a highly organized, proactive, and detail-oriented Executive Assistant to support our multi-faceted legal and accounting teams. The ideal candidate will possess excellent communication skills, strong problem-solving abilities, and a commitment to providing exceptional administrative support and client service. The Executive Assistant will manage daily administrative tasks, ensure smooth operations, and enhance the efficiency of our teams while being the face of our company and the first point of contact for our clients. Please note, this is a part-time position working 20-28 hours per week.
Key Responsibilities:
Administrative Support: Manage and maintain executives’ schedules, calendars, and appointments, ensuring optimal time management.
Communication: You are the face of our company and will manage the front desk and phone operations while acting as the first point of contact for current and potential clients. Screen and respond to emails and phone calls, handling inquiries and redirecting as necessary, and managing the calendars of our executives and teams.
Document Management: Prepare reports, presentations, and correspondence. Assist in creating and managing filing systems (both physical and digital).
Project Management: Assist with the coordination and tracking of ongoing projects, ensuring deadlines are met and necessary follow-ups are conducted.
Event Planning: Organize events, including team off-sites, corporate events, and client meetings, ensuring seamless execution from start to finish.
Confidentiality: Handle sensitive information with the highest level of confidentiality and professionalism.
Ad-hoc Tasks: Provide general administrative support, process client payments, manage supplies inventory, and run office errands.
Qualifications:
Education: HS Diploma required, some college preferred.
Experience: Minimum of 1-3 years of progressive work experience required, prefer experience in an office or administrative position.
Skills:
Strong organizational and time management skills.
Excellent verbal and written communication abilities, including phone skills.
High proficiency in Microsoft Office Suite (Word, Excel, Outlook).
Ability to prioritize tasks and handle multiple deadlines.
Strong attention to detail and problem-solving abilities.
Ability to work independently and as part of a team.
Discretion and the ability to handle sensitive information confidentially.
