    Job Description

    The NBC Sports Next, Fandango, & Rotten Tomatoes team is seeking an Executive Assistant to support three SVP-level executives who span across various business units in the organization. This role will play a pivotal role in the team’s day-to-day organization and operations. We are looking for someone to join our team who is interested in a career in marketing, partnerships, and/or business strategy. The ideal candidate for this position has stellar communication, organization, and time management skills to help three busy executives stay on track so they can manage the teams they oversee. This position has visibility into the NBC Sports Next + Fandango leadership teams, so professionalism and an executive presence is essential to the role.

    Essential Duties:

    • Proactively manages calendars and daily schedules for the executives across multiple time zones, including planning ahead for problems and being flexible to scheduling changes as they arise. This role will also occasionally help the executives’ teams with critical scheduling if needed.
    • Manages travel arrangements and expenses in a timely manner, with attention to detail.
    • Prepare presentations and manage team trackers/reports that help the teams stay organized
    • Documenting notes and key next steps from key meetings, including coordinating follow up items as required with minimal supervision.
    • Coordinating meeting-related administrative needs for external partners and clients meetings, including catering, IT needs and beyond.
    • Managing special projects/events as designated and assist other department members as necessary and acts as back up for other assistants on team.
    • Establish and maintain positive relationships with internal and important external clients
    • Maintain proper recordkeeping and filing system for all work
    • Manages other general administrative tasks as required.
  • Qualifications

    Qualifications

    • Bachelor’s Degree or equivalent in a related field
    • 2+ years experience in entertainment, agency, management consulting, marketing, business, strategy, media, digital, technology or a related role strongly preferred.
    • High degree of professionalism, confidentiality, and experience interfacing with Senior Level management.
    • Proficient in Microsoft Word, Outlook, PowerPoint, Adobe, Excel and Keynote
    • Knowledge of all basic office equipment required
    • Demonstrable EA and/or Studio work experience: a truly committed individual who has experience supporting managers with distinct personalities who work across multiple time zones (PST and EST in this instance).
    • Ability to work independently as a proactive, confident self-starter who can quickly identify problems and propose solutions without needing to be prompted to do so.
    • Must show a very solid sense of initiative, intuition, and self-awareness, and be able to follow through on assigned tasks with minimal supervision.
    • Expert communicator with the ability to communicate with all levels especially senior executives – able to follow up on meeting action points and communicate these to necessary parties.
    • Ability to pay attention to multiple details and multiple tasks while minimizing errors
    • Highly resourceful team player with a positive attitude who is willing to go the extra mile for the success of the team. The teams this position supports have a “no ego” policy and expect this role to support that.
    • Excellent organization, time management skills, with the ability to multi-task and attention to detail are critical.
    • Able to stay calm in high stress, high pressure situations.
    • Ability to work from the Universal City, CA office at least 3 days per week
    • Willingness to work flexible hours when necessary.
