    Job Description

    This role supports the President and 2 SVPs in the Atlanta office (Team). There will be heavy calendar management, meeting planning and travel coordination, among other responsibilities. In-office work is required.

    • Executive Assistant duties to the Team.
    • Pro-active calendar management and travel coordination for meetings.
    • Submit expenses on behalf of the Team.
    • Anticipate needs, pre-empt, and resolve issues while prioritizing tasks to proactively support the Team.
    • Meeting management: plan meetings (online and in-person) and all related operational details (conference rooms, catering, collateral, building access, etc.); draft agenda and minutes; greet onsite guests and escort them to appropriate conference room.
    • Coordinate and support development of presentation content, report development and schedule/deadline tracking for various internal/external meetings and Board meetings.
    • Ensure compliance with company policies, manage signature approvals.
    • Assist and coordinate the review of various corporate invoices.
    • Handle confidential information and maintain the security of records and files.
    • Maintain and organize corporate electronic files, records and confidential information.
    • Assist in the planning and execution of company events and functions.
    • Assist with the preparation of business development proposals and other documents related to business development efforts.
    • Organize and manage conference and safety supplies, including ordering materials, coordinating with vendors, and ensuring timely delivery.
    • Assisting with various projects, including research, data analysis, and report preparation. Coordinating with other team members to ensure project timelines are met.
    • Assist with employee onboarding process for new employees by coordinating orientation sessions and ensuring all necessary paperwork is completed. Act as a point of contact for new employees, addressing their questions and concerns and providing support during their initial transition period.
    • Ad-hoc projects as needed.
    • SOX control responsibilities may be part of this role, which are to be adhered to where applicable.

    Qualifications

They must be self-motivated, proactive, highly organized, and able to work on their own initiative with minimum supervision. Furthermore, excellent communication and organization skills, and must be able to deal with highly confidential information appropriately. Skills must include:

    • 5 – 8 years of experience supporting senior executives.
    • Proven track record working in a dynamic and demanding environment is necessary.
    • Bachelor’s degree preferred.
    • Strong aptitude for Microsoft Office Suite (Outlook, Word, Excel & PowerPoint).
    • Detail-orientated, highly organized with a flexible and solution-oriented attitude.
    • Technically-savvy with the ability to learn systems quickly.
    • Strong communicator.
    • Creative and skilled in visual presentation.
    • A positive team player with the ability to deal with colleagues at all levels of the business.
    • Strong problem-solving skills and the ability to think critically and strategically. Anticipate needs and proactively resolve issues.
    • Culturally-sensitive; able to deal with global stakeholders.
    • 50-60% office / 40-50% remote.
