We're hiring a high-performing Executive Assistant & Operations Coordinator to become a force multiplier for our founder and leadership team. This is not your average EA role. This is for someone who thrives on ownership, sees five steps ahead, and takes personal pride in keeping the trains not just running—but running early and in style. You’ll serve as a strategic right hand to our founder, manage scheduling with mastery, take the reins on inboxes, support client services, and oversee our beautiful retreat suite in Denver. You’ll bring flow, foresight, and a can-do attitude to everything you touch. Responsibilities: Executive Support (Founder + Team) • Own and optimize our founder’s calendar—no conflicts, no overlaps, total clarity • Process emails and maintain Inbox Zero cadence (2x/day check-ins) • Prep for meetings with resources, agendas, and follow-ups • Anticipate needs before they’re voiced and solve problems before they become problems • Be a calm, capable backup for in-person events and retreats when needed • Coordinate—and in some cases, execute—personal logistics or errands that support the founder’s ability to stay focused on high-impact work Retreat Suite Management (Denver HQ) • Fully manage our retreat suite logistics—cleaning, supplies, stocking, booking, client experience • Handle vendor coordination and inventory (snacks, gifts, client touches) • Shadow and eventually host in-person retreat days and events • Debrief, capture notes, and ensure every event runs smoothly • Create an environment that feels like care and functions like a well-oiled machine Light Financial Operations • Monitor and maintain the company’s financial tracker daily • Track and report weekly KPIs to the founder • Support monthly forecasting and ensure budget alignment • Flag inconsistencies or anomalies and assist in keeping financial goals on track You’ll Excel If You… • Have experience as an Executive Assistant, Chief of Staff, Hospitality/Events Pro, or Office Manager • Are tech-savvy (Google Calendar, Calendly, Superhuman, Slack, and automation tools) • Have managed high-stakes, fast-paced environments—ideally supporting a founder or exec • Are known for being sharp, unshakable, wildly detail-oriented, and fast • Protect time and energy like it’s your job—because it is • Love building systems, not just executing tasks Qualifications: We’re Looking for Someone Who… • Is energized by driving results and thrives on both detail work and strategic coordination • Has a naturally upbeat vibe, gets things done, and doesn’t flinch under pressure • Loves working on a close-knit team and has the maturity to give and receive direct feedback • Wants to grow inside a mission-driven company doing meaningful work • Moves quickly, holds high standards, and doesn’t need to be micromanaged • Has a “no task too small, no problem too big” mentality Full details + how to apply: velocitywork.com/hiring-ea Compensation: $75,000 - $85,000
