Stein Law is seeking a highly organized and proactive Executive Assistant to support the Partners of our law firm. This role requires exceptional multitasking abilities, strong communication skills, and a high level of confidentiality. The Executive Assistant will maintain the efficiency of the Partner’s schedule and workflow, handling a wide range of administrative and executive support-related tasks. The ideal candidate has a background in legal services or executive support.

Key Responsibilities
Coordinate and manage the Partner's calendar, including scheduling internal and external meetings, client consultations, and travel arrangements.
Serve as the first point of contact for the Partner, handling and screening calls, emails, and other correspondence.
Draft, proofread, and organize legal documents, client files, and other sensitive information.
Prepare meeting agendas, take detailed notes, and follow up on action items.
Assist with client communications, scheduling, and follow-up to maintain a high standard of client service.
Support the Partner in tracking his time and the progress of ongoing cases, projects, and business initiatives.
Assist with client billing and invoicing, including reviewing, preparing, and tracking time and expenses.
Assist in a variety of administrative tasks, including handling confidential information, ordering office supplies, processing incoming mail, and coordinating with other departments as necessary.
Qualifications
Bachelor’s degree preferred or equivalent experience in executive assistance, administration, or legal support.
Minimum of 2 years of experience as an Executive Assistant, ideally in a law firm or professional services environment.
Excellent written and verbal communication skills with strong attention to detail and professionalism in handling confidential information.
Strong organizational, multitasking, and prioritization abilities with an exceptional ability to manage competing deadlines.
High level of emotional intelligence, diplomacy, and the ability to build effective relationships with clients, colleagues, and external partners.
