Executive Assistant - Sports & Entertainment Real Estate
The Noel Collective is seeking an experienced Executive Assistant with a concentration in our Sports and Entertainment division. Job Description: As an Executive Assistant to the Founder of The Noel Collective, you provide an unparalleled level of service tailored to the unique needs of the Founder’s SE clients, including professional athletes, entertainers, musicians, executives, and industry insiders. Your role extends far beyond traditional real estate transactions—it's about understanding the demands of a fast-paced, high-net-worth lifestyle and delivering a seamless, concierge-level experience. The Founder’s clients often have unpredictable schedules, tight relocation timelines, and unique financial structures, requiring a proactive, strategic approach to buying, selling, and investing in real estate. Whether working with an athlete in the middle of a trade, a touring artist looking for a private retreat, or a film executive expanding their property portfolio, you ensure every transaction is executed with discretion, efficiency, and precision. This high-stakes, high-touch role requires building and maintaining relationships with agents, developers, financial advisors, business managers, and exclusive off-market networks, and you secure premier opportunities for your clients before they become publicly available. Beyond the transaction, you act as a trusted advisor, helping clients make informed decisions that align with their long-term goals. Your job is to anticipate needs and deliver solutions before they even ask. Ultimately, your success is built on trust, discretion, and the ability to provide a truly customized real estate experience that accommodates the unique demands of high-profile careers and lifestyles. The ultimate goal of this role is to free up capacity for the Founder and fully support her needs. Must have the ability to be proactive and have excellent problem-solving skills. This is a 40-hour a week job minimum and requires work outside of normal business hours $30,000 salary + bonus per transaction and 25% referral fee on business brought into the team. Responsibilities: CRM Management and Calendar Management • Compass CRM, SE Workbook, and Business Tracker to be up to date at ALL times, especially as new information comes in • Create and manage organizational systems for Ali to be in the loop, and everything runs smoothly at all times SE Client + Partner Touches • Make sure all clients, partners, and vendors are being “touched” at a high level at all times • Be proactive with ideas and implementation of ways to remain top of mind with the SE Sphere and to grow continually • Act as a trusted advisor, understanding the unique needs, preferences, and investment goals of each client. • Provide personalized property solutions that align with clients' lifestyles and career demands. • Coordinate gifts, drop-offs, etc Showings • Conduct property showings during weekdays and weekends as needed. Weekends and After Hours • Run point on Founder’s business phone weekends and after hours to ensure all clients are responded to within an appropriate time and leads captured instantly • Rentals and Short-Term Rentals • Run point on all rentals, long-term and short-term • Be extremely proactive and innovative in making things happen when it doesn't seem possible Nashville Buying Transactions: • Create Neighborhood Tours or show Deep Dives as needed • Guide clients through every step of the buying, selling, and leasing process, ensuring a seamless and efficient experience. • Conduct comprehensive market analyses to send to Ali on the Offer Price, etc • Work with the Client Experience Manager on all paperwork and offers • Negotiate contracts and agreements • Stay on top of all things and think of things BEFORE a client needs them Follow Up/ Time Management Expectations • Depending on urgency, clients' needs are addressed within an hour of receiving them • This person must be able to manage their calendar and workload efficiently, so that all clients are addressed in a timely manner Referral Management • Run point on all referrals after Ali makes the initial introduction • Vet out all referral agents and create a one-sheeter for each market Marketing/ Tools • Continual implementation and updating of SE Marketing Materials, Resources (Ex, Concierge Partner, Vendor List, School List, One Sheeter on each referral market) Market Expertise and Analysis: • Stay up-to-date with local, regional, and national real estate trends and top-producing agents, particularly in the luxury market. • Utilize Compass technology and data analytics to provide insights and forecasts tailored to sports and entertainment clients. Monitoring Sports and Business News • This person should keep their finger on the pulse of all sports and business news (trades, draft, HQ relocations, etc) to ensure clients' needs are addressed proactively Networking and Industry Collaboration: • Build and leverage an extensive network of industry contacts, including sports agents, legal professionals, financial advisors, CPAs, and lenders. • Represent the team at industry events, conferences, and gatherings to expand professional connections and reinforce the brand’s presence in the SE market. Confidentiality and Discretion: • Maintain the highest level of discretion and confidentiality, handling sensitive client information with utmost professionalism. • Adapt to the demanding schedules and privacy needs of high-profile clients. Personal Errands: • During slower times, the assistant helps with personal errands and tasks for the Founder as well Qualifications: • Must have a real estate license • Must have experience in a high-stress, fast-paced environment • Must have experience in Excel and other organizational systems • Accustomed to working on strict, fast turnaround deadlines Compensation: $40,000 - $60,000 per year + Referral Bonus Opportunity
