    Executive Assistant Position Overview: The Executive Assistant will play a critical role in supporting the CEO by managing schedules, communications, and strategic initiatives. This individual must be highly organized, proactive, and capable of handling confidential information with discretion. The ideal candidate will serve as a gatekeeper, ensuring the CEO’s time is optimized and priorities are aligned with business goals. Key Responsibilities: Calendar Management: • Manage the CEO’s schedule, including coordinating meetings, appointments, and travel arrangements. • Ensure calendar efficiency by optimizing meeting times and providing necessary context. • Balance work and personal commitments to maintain a structured agenda. Communication Management: • Filter and prioritize incoming emails, phone calls, and messages to ensure the CEO focuses on the most critical matters. • Draft and prepare correspondence, memos, reports, and presentations. • Ensure every communication receives a clear, timely, and professional response. Information & Confidentiality Management: • Organize and maintain digital and physical files, ensuring accessibility and security. • Safeguard sensitive corporate, financial, and personal information. • Capture and document CEO preferences to streamline operations. Meeting Coordination: • Schedule, organize, and oversee meetings to ensure productivity. • Prepare agendas, take minutes, and follow up on action items. • Act as a liaison between the CEO and internal/external stakeholders. Travel Arrangements: • Plan and coordinate all aspects of travel, including flights, accommodations, and itineraries. • Address any travel-related issues to ensure smooth logistics. Networking & Relationship Management: • Build and maintain positive relationships with clients, partners, and investors. • Organize and oversee corporate events aligned with business objectives. • Manage contacts and networking opportunities to support business priorities. Special Projects Management: • Oversee special projects, including company initiatives and media efforts like the podcast. • Ensure consistent results and successful execution of these initiatives. Responsibilities: • Protect CEO’s Time: Filter and prioritize inbound requests, focusing on strategic importance. • Be Preemptive: Anticipate needs and proactively manage tasks. • Clear & Kind Communication: Ensure all correspondences are timely, concise, and professional. • Problem-Solving: Address issues before they reach the CEO to maintain seamless operations. • Confidentiality & Discretion: Handle all sensitive matters with the highest level of professionalism. • Special Projects Management: Ensure successful planning and execution of company initiatives, including media efforts like the podcast. Qualifications: • Bachelor’s degree in Business Administration, Communications, or a related field preferred. • Minimum 3-5 years of experience in an Executive Assistant role or similar. • Strong proficiency in Microsoft Office Suite, Google Workspace, and project management tools. • Excellent organizational, multitasking, and problem-solving skills. • Ability to work independently while maintaining strong attention to detail. Compensation: $50,000 - $55,000 yearly
