    Key Responsibilities

    Independently complete assignments with minimal supervision, ensuring accuracy and efficiency.

    Communicate with high-ranking individuals from national and international firms, handling each interaction with discretion and sound judgment.

    Track executive commitments from meetings and coordinate staff implementation.

    Arrange staff representation at meetings and conferences when necessary.

    Review outgoing correspondence for executive approval, flagging inconsistencies or deviations from policies and viewpoints.

    Manage executive requests in their absence, ensuring prompt delegation to the appropriate staff.

    Assess and implement operational improvements, including record-keeping systems, office procedures, and performance standards.

    Prepare and compile reports on budget expenditures, performance data, and other operational metrics.

    Greet and assist visitors, customers, and applicants professionally.

    Maintain executive calendars to ensure seamless scheduling.

    Compose and sign correspondence on behalf of executives when required.

    Oversee reception, common areas, and break areas to maintain a professional and welcoming environment.

    Submit weekly reports as requested.

    Negotiate contracts with vendors for merchandising, breakroom supplies, and facility maintenance.

    Plan, coordinate, and execute company events, including catered functions.

    Manage community liaison activities and oversee fundraising events.

    Organize and manage travel arrangements for executives and the managerial team.

    Maintain office supplies, safety materials, and other purchases while staying within budget and negotiating pricing.

    Coordinate company and customer meals, including lunch orders and dinner reservations.

    Ensure signage updates across all locations.

    Additional Duties

    Run errands, including trips to the post office, supply stores, and other locations as needed.

    Pick up coffee, meals, and other requested items for executives and office staff.

    Prepare and manage shipments via FedEx and UPS.

    Order business cards, floral arrangements, and office supplies as needed.

    Maintain contact lists for holiday cards and corporate gifts.

    Assist with administrative tasks, including filing, hole-punching, making copies, and organizing documents.

    Handle general office upkeep, ensuring all areas remain organized and fully stocked.

    Must have:

    Great computer skills including but not limited to Microsoft Office, Excel and the ability to learn new software platforms.

    Do well in high-stress situations and able to pivot within any workday.
