    The Executive Assistant's mission is to stay five steps ahead of the founders, managing administrative details and clearing the way for them to maximize their contribution. As a key asset to the Partners, the Executive Assistant anticipates high-level needs and works independently to support the vision and strategy at Vantage Point Financial. While some tasks are repetitive, they vary weekly based on the Partners’ and business needs. This role requires an intuitive individual who can ensure administrative tasks and projects are handled efficiently, confidentially, accurately, and positively to support the Partners' initiatives. Responsibilities: Meeting Management • Thorough preparation and follow-up through agendas, note-taking, and distribution of action items Communication • Represent the Partners internally and externally • Manage email inbox and correspond on their behalf Calendar and Schedule Management • Handle complex scheduling for both personal and professional commitments • Follow up on meeting action items and ensure timely completion Administrative Tasks • Manage various administrative duties such as booking appointments, conducting research, handling personal requests, and email management • Prepare and edit correspondence, reports, presentations, and other documents Travel Arrangements • Book flights, accommodations, and transportation • Prepare detailed travel itineraries and handle travel-related issues • Communicate travel details to their spouses and provide weekly updates on family commitments and schedules Project Management • Assist in the planning and execution of projects • Monitor project progress and provide updates to the executive Brand Integrity • Ensure consistent and strategic communication practices that align with brand values and guidelines Relationship Management • Building and maintaining relationships with key clients, partners, and team members Event Planning • Organize and coordinate company events, conferences, and social functions in collaboration with the Operations Manager and events team Technology Utilization • Utilize office software tools (MS Office, CRM) efficiently • Be open to learning new technologies Anticipating Needs • Anticipate the needs of the Partners to eliminate friction at work and home • Stay proactive in clearing the path for leaders to make their greatest contributions to the business Personal Assistance • Occasionally handle personal errands and tasks for the Partners Finance and Reporting • Assist with light project management and accounts payable duties • Prepare weekly expense reports Qualifications: • Excellent communication skills, time management skills, interpersonal skills, and organizational skills • Must be comfortable using Microsoft Office • 2+ years performing supportive duties in a personal assistant or executive assistant role, or similar • Comfortable meeting deadlines and handling confidential information • Bachelor's degree preferred, or equivalent experience • This role is in-person Compensation: $50,000 - $60,000 yearly
