We're currently looking for an Executive Assistant to join our growing team. The ideal candidate will be someone who will be a proactive problem solver with exceptional communication skills and meticulous attention for details. This person should have experience working in a fast-paced environment, performing administrative duties, and providing support to attorneys.
Responsibilities:
Manage professional and personal scheduling for attorneys, including agendas, email, phone calls, client management, and other company logistics
Filter and prioritize client emails or phone calls, and communication on behalf of the attorney
Manage attorneys travel logistics and activities, including accommodations, transportation, and meals
Provide administrative and office support, such as spreadsheet creation, maintenace of filing system and contacts database
Maintain professionalism and strict confidentiality with all materials
Organize team communications and plan events
Required skills and qualifications:
Three or more years of experience as an executive assistant
Located in California (ideally in any of the following counties: Los Angeles, Ventura or Orange)
Excellent written and verbal communication skills
Strong-time management skills and an ability to organize and coordinate multiple concurrent projects
Proficiency with office productivity tools and an ability to learn new software and systems
Flexible team player, willing to adapt to changes and unafraid of challenges
Ability to maintain confidentiality of information related to the company and its clients
Preferred skills and qualifications:
Experience with Microsoft 365 and Adobe
Bachelor's degree or Associate degree
Experience working with multiple individuals simultaneously
Experience working at a law firm, talent management or agency
