    We are seeking a highly organized, proactive, and resourceful Executive Assistant to provide comprehensive support to the COO of Zero Doubt Marketing. This role combines executive assistant responsibilities along with some personal assistance, including scheduling, meal planning and prep, animal care, and other errands. The Executive Assistant will serve as the COO’s right hand, providing comprehensive support across multiple companies. This role is designed to enhance operational efficiency, streamline business processes, and manage personal tasks to allow the COO to focus on strategic decision-making and high-level leadership responsibilities. This position will be expected to handle both professional and personal matters with discretion and proactivity. Responsibilities: The role will include (but not limited to) helping their leader with: Executive Support: • Manage and prioritize complex calendars, schedule appointments, and coordinate meetings across multiple businesses. • Screen, prioritize, and respond to communications (email, phone calls, messages) on behalf of the COO. • Assist with the creation and preparation of reports, presentations, and business documents. • Organize and maintain digital and physical filing systems for easy access to important business information. • Help track and manage business-related deadlines, ensuring follow-ups and completion of tasks on time. • Coordinate travel arrangements, including itineraries, accommodations, and logistics. • Support key projects and tasks across multiple companies by coordinating resources, meeting schedules, and deliverables. • Assist with vendor management and service provider relationships as needed. Personal Assistance & Errands: • Assist with personal scheduling, appointments, and family-related logistics. • Manage errands such as grocery shopping, picking up dry cleaning, and handling other day-to-day tasks. • Oversee meal planning and preparation, ensuring healthy options are aligned with the COO's goals and preferences. • Provide support for pet care, including feeding, walking, and coordinating vet/boarding appointments as needed (Must be comfortable around animals - dogs and cats). General Administrative and Operational Support: • Oversee and manage operational tasks across multiple businesses, ensuring smooth day-to-day functions. • Provide general administrative support to teams and business leaders as required. • Assist with document organization, tracking project timelines, and maintaining smooth communication across departments and business units. Qualifications: • Proven experience as an Executive Assistant, Personal Assistant, or in a similar role, ideally supporting C-suite executives or multiple business leaders. • Strong organizational and time-management skills, with the ability to manage competing priorities. • Excellent communication skills, both written and verbal. • High level of professionalism, attention to detail, and problem-solving abilities. • Ability to handle sensitive information with discretion and confidentiality. • Proficiency in Microsoft Office Suite, Google Workspace, and project management tools. • Ability to work independently, proactively managing tasks and projects across multiple companies. Compensation: $50,000 - $60,000
