    We are currently partnering with our client Bridgewater Bank, for the Executive Assistant to the President at theirnewly constructed corporate office (2020), located in Minneapolis, Minnesota (St Louis Park).

    The Role

    In this role, the Executive Assistant will provide core administrative support to the President, and additionally, to the Chief Strategy Officer, and serve as a strategic liaison to senior management teams.

    This key functional resource requires the ability to proactively anticipate needs and execute end-to-end projects, balance tactical flexibility with strategic planning, and provide a consistently high level of professionalism and confidentiality.

    The successful candidate will be exceptionally organized, meticulous, and proactive. The Executive Assistant must be creative and enjoy working within an entrepreneurial environment that is results-driven and community-oriented.

    Responsibilities

    Serve as the primary administrative support and confidant to the President, with additional support for the Chief Strategy Officer.

    Calendar Management:

    • Strategically manage calendars, ensuring optimal scheduling for efficiency and productivity.
    • Coordinate and prioritize meetings across time zones, resolve conflicts, and schedule recurring appointments.
    • Plan future scheduling needs, align calendars with organizational goals, and allocate time for focus or travel.
    • Act as a gatekeeper by filtering requests and managing the executive’s time effectively.

    Meeting Coordination and Preparation:

    • Coordinate and organize meetings, ensuring all necessary materials and agendas are prepared.
    • Organize board of directors’ meetings, prepare materials, handle board travel logistics, and facilitate communication between the President and board members.

    Email Management:

    • Sort and prioritize emails, flag urgent items, and ensure timely follow-ups.
    • Draft, proofread, and respond to routine or sensitive correspondence, maintaining the executive’s tone and professionalism.
    • Securely handle sensitive communication and manage stakeholder interactions.

    Travel Management:

    • Arrange domestic travel, including flights, hotels, and ground transportation.
    • Provide detailed, door-to-door itineraries to ensure seamless travel experiences.

    Event Planning:

    • Organize board of directors’ meetings, prepare materials, handle board travel logistics, and facilitate communication between the CEO and board members.

    • Coordinate executive team meetings and events, prepare agendas, distribute materials
    • Lead or assist in planning internal events, collaborating with the Marketing team as needed.
    • Manage logistics such as location setup, technology, catering, attendee travel coordination, and post-event follow-up.

    Technology & Documentation:

    • Utilize and maintain core technology systems to streamline processes.
    • Draft and format letters, memos, and presentations, translating complex information into clear documentation.
    • Develop and document procedures, training others as necessary.

    Reporting & Policy Interpretation:

    • Generate and manage reports on a scheduled and ad hoc basis, including expense reports.
    • Address inquiries requiring interpretation of policies or procedures.

    Project Management:

    • Assist with special projects involving research, analysis, and interdepartmental coordination.

    • Oversee components of high-visibility projects, ensuring efficient use of company resources.

    Confidentiality:

    • Handle sensitive and proprietary information with discretion.
    • Ensure appropriate sharing of information within the organization and guide peers on confidentiality standards.

    General Office Duties:

    • Manage mail, office supplies, and other administrative tasks as needed.

    Experience Requirements

    • 10+ years of progressive Executive Assistant experience supporting C-Suite executives, Presidents, CEO, or similar

    • Experience supporting a board of directors, including meeting minutes, communication, and logistics

    • Strong analytical and organizational skills with high attention to detail and accuracy

    • Proven ability to work independently, proactively, and creatively while exercising sound judgment and discretion on confidential matters

    • Ability to work under pressure at times to handle a wide variety of activities with shifting priorities

    • Familiarity with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), Teams, and other relevant software, and ability to learn new technologies

    • Skills: Strong organizational, time management, and multitasking abilities, with a keen attention to detail.

    • Communication: Excellent written and verbal communication skills, with professionalism and the ability to interact effectively with individuals at all levels.

    • Software Proficiency: Proficient in Microsoft Office (Word, Excel, PowerPoint, Outlook) and other relevant applications.

    • Excellent proofreading and writing skills

      Preferred Experience/Qualifications:

    • A college degree
    • Experience in a publicly traded company
