Executive Coordinator
Edina, MN | Hybrid | Contract to Hire | $25-35/hr
Konik is partnering with a local Residential Design Build firm looking for a proactive, detail-oriented Executive Coordinator to streamline their leadership team's operations. In this role, you will handle a wide range of administrative tasks, facilitate communication, and ensure efficiency across our projects. You’ll manage key interactions with our leadership, staff, clients, vendors, and subcontractors. The ideal person brings their own unique skill set that will evolve the role in to something you will thrive in. Executive Coordinators Responsibilities:
- Prepare for Meetings: Organize agendas, materials, and follow-ups to keep meetings efficient and actions on track.
- Manage Calendars: Schedule and update meetings and notify participants of changes.
- Handle Confidential Communications: Draft and proofread sensitive communications with clients, staff, and partners.
- Support Hiring & Onboarding: Conduct interviews, assist with new hire orientation, and manage employee documentation.
- Serve as Liaison: Provide information and guidance to employees on behalf of leadership.
- Organize Documents: Maintain records in OneDrive/SharePoint and archive data in Microsoft Office programs.
- Process Administrative Tasks: Manage data entry, process timesheets, reimbursements, bids, and quotes.
- Coordinate Change Orders: Track client change orders using AdobeSign, securing approvals and maintaining organized records.
- Manage Finances: Review QuickBooks for invoicing accuracy, support bank reconciliations, and prepare financial reports.
- Assist in Compliance: Help with corporate membership renewals, handbook updates, and documentation for audits.
- Improve Processes: Identify and implement efficient processes to enhance team productivity.
- Support Projects: Offer administrative support for client projects, handle inquiries, and resolve issues promptly.
What the Executive Coordinator Brings:
- Proficiency in Microsoft Office Suite and SharePoint/OneDrive.
- Experience with QuickBooks Online for invoicing and financial reporting.
- Strong organizational and multitasking abilities.
- Excellent verbal and written communication skills.
- High attention to detail and proactive problem-solving.
- Ability to manage confidential information professionally.
- Previous experience in a similar administrative or coordinator role preferred.
