    Job Description

    POSITION SUMMARY:

    The Executive Coordinator is a strategic partner responsible for providing comprehensive support to C-suite executives. This role will serve as a key resource for deepening engagement with Stream’s top talent, strengthening collaboration and alignment with Stream’s overarching priorities, and promoting a unified company culture and operational efficiency. The ideal candidate for the role is a flexible problem-solver who has superb communication skills and a detail-oriented mindset. Effective multitasking and a unique ability to handle the unexpected are essential qualifications for the position.

    RESPONSIBILITIES:

    • Proactively manage the CEO and COO’s Outlook inboxes-monitoring, prioritizing, and responding to emails as appropriate to ensure timely communication and follow-through
    • Coordinate complex scheduling and extensive calendar management for C-suite executives
    • Manage, coordinate, and arrange executives’ travel and travel-related activities, including hotel booking, transportation, and preparing expense reports for C-suite executives
    • Own and manage executive committee meetings, including scheduling, prioritizing, and preparing for meetings; ensure successful execution by coordinating agendas, materials, follow-ups, and stakeholder alignment
    • Execute strategic recruiting efforts, including coordinating personalized candidate experiences, managing sensitive communications, and ensuring seamless end-to-end execution highlighting company brand culture
    • Manage executive’s day-to-day social media operations, including content administration, content publishing, and tracking engagement
    • Organize and maintain departmental calendar of meetings, travel schedules, and PTO
    • Plan and orchestrate work to ensure the executives’ priorities are met, organizational goals are achieved, and best practices are upheld
    • Provide some high-level personal assistant support to the CEO and COO, including oversight of appointments, reservations, and confidential tasks to optimize their productivity and efficiency
    • Create and maintain contacts, companies, and meeting notes in Dynamics365 CRM application
    • Work with National Marketing, and independently, to coordinate client entertainment events
  • Qualifications

    Qualifications

    • 3+ years’ experience in providing administrative & project support to a team
    • Ability to maintain confidentiality and appropriately handle sensitive information with tact and discretion
    • Strong verbal and written communication abilities with practical interpersonal skills
    • Strong attention to detail
    • Proficient in the Office 365 Platform, such as Microsoft Teams, Word, Excel, PowerPoint, Outlook, OneDrive, etc.
    • Team-oriented with flexibility to support timelines and deliverables
    • Strong internal customer focus, especially in delivering high-quality results
    • Highly organized with strong follow up skills and the ability to multi-task
    • Able to think critically to solve complex, time-sensitive inquiries and data issues
