Position Overview: An established and growing Allstate Insurance Agency is seeking a highly motivated and detail-oriented Executive Insurance Assistant to provide exceptional administrative and operational support to the agency owner and leadership team. This role involves managing day-to-day operations, supporting client interactions, and ensuring the agency operates efficiently and compliantly. The ideal candidate will have a background in insurance or financial services, a strong customer service mindset, and a passion for helping clients protect what matters most.
Key Responsibilities:
Agency Operations Support:
Manage the agency owner’s schedule, including meetings, calls, and community events.
Prepare and submit insurance applications, endorsements, and renewals accurately and efficiently.
Maintain organized files for client policies, claims, and other agency documents in compliance with Allstate standards.
Client Relations:
Serve as the first point of contact for clients, answering inquiries and directing them to the appropriate team member.
Provide exceptional customer service by handling policy changes, billing questions, and claim follow-ups.
Ensure a professional and welcoming experience for clients visiting the agency.
Sales Support:
Assist with preparing and delivering insurance quotes for auto, home, life, and other products offered by Allstate.
Track leads and follow up with prospects on behalf of the agency owner or licensed producers.
Generate reports on sales metrics and policy renewals to assist with strategic planning.
Compliance and Record-Keeping:
Monitor and maintain compliance with Allstate policies and state insurance regulations.
Ensure deadlines for renewals, audits, and licensing are met.
Accurately manage client information in Allstate systems, including eAgent and other proprietary tools.
Marketing and Community Engagement:
Support the agency’s marketing efforts, including social media content creation and event planning.
Assist in coordinating community involvement initiatives, such as sponsorships or local events.
Create client-facing materials such as newsletters or policy reviews to enhance engagement.
Qualifications:
High school diploma or equivalent; bachelor’s degree preferred.
Previous administrative or insurance experience, especially in an Allstate agency, is highly desirable.
Active state insurance licenses (or willingness to obtain them).
Proficiency in Microsoft Office Suite and Allstate-specific tools like eAgent, Ivans, or Allstate Lead Manager.
Exceptional organizational and time management skills.
Strong written and verbal communication abilities.
