  • Responsibilities

    The Executive Personal Assistant (EPA) will serve as the right-hand support for the Owner of Hermance Law, providing organizational, administrative, and household management support. This role is essential in allowing the Owner to focus on leading the law firm and achieving its goals. The EPA must be proactive, resourceful, and a strong cultural fit, with exceptional communication and technical skills. As a busy professional and mom of two, the Owner requires an EPA who can seamlessly handle both professional and personal responsibilities, including managing work and household projects, support for work events, and occasionally assisting with child responsibilities. This will be a full-time/part-time job. Responsibilities: Schedules & Arrangements • Maintain and coordinate personal and professional calendars, ensuring alignment with work commitments. • Schedule appointments and meetings, including professional networking and referral source engagements. • Organize and oversee office meetings, events, and celebrations. • Manage all aspects of travel arrangements for business and family, including airfare, lodging, transportation, dining, and activities. Correspondence & Communication • Triage and organize emails, ensuring timely responses and electronic filing. • Screen and handle calls, escalating urgent matters as needed. • Draft and manage correspondence, thank-you notes, and other professional communications. Office, Marketing, & Event Support • Attend meetings to take notes, track follow-ups, and maintain task calendars. • Support marketing efforts by organizing networking contacts, managing referral lists, and assisting with calls. • Support work events, including workshops, client appreciation events, team-building activities, networking events and seminars. • Coordinate logistics for work events such as venue bookings, catering, invitations, and materials preparation as needed. • Serve as on-site support during events to manage schedules, troubleshoot issues, and ensure smooth execution. • Manage post-event follow-ups, including thank-you notes and feedback collection. Project Management • Manage both professional and personal projects, ensuring timelines and deliverables are met. • Collaborate with internal teams and external vendors to ensure smooth execution of projects. • Monitor and track progress on assigned tasks and provide updates as necessary. • Develop and maintain systems to streamline project workflows. Personal & Professional Support • Serve as the Owner’s accountability partner for personal and professional commitments. • Execute tasks with minimal details or direction, demonstrating resourcefulness and initiative. • Plan and coordinate events, including dinner parties and celebrations. • Research and clarify information to support decision-making and project execution. Household & Childcare Management • Manage the family calendar, coordinating personal and children’s appointments. • Assist with child pick-ups when needed. • Organize the home office, closets, and personal spaces in collaboration with vendors. • Oversee household projects, from scheduling contractors to managing timelines. • Coordinate and manage household vendors (housekeepers, chefs, landscapers, handymen, etc.). Technical Fit • Advanced proficiency in technology platforms (e.g., Microsoft 365, Zoom, task management tools). • Strong calendaring, organization, and time-management skills. Compensation: $28 - $32 hourly
