You’ll act as the first point of contact for the law firm, answer phone calls, keep the CEO organized, schedule meetings, make travel arrangements, handle mail and deliveries, engage in face-to-face customer contact, track marketing results, seek customer reviews, engage in marketing, manage multiple phone lines and calendars, and help us with other operational duties to keep everything running smoothly. Responsibilities: • Give every employee, client, and visitor a warm welcome at the front desk and communicate any important information or directions • Respond to incoming phone calls and emails and make sure the right people receive all important information • Manage incoming and outgoing mail and handle deliveries • Make appointments for employees and ensure the calendar is current and correct • Provide administrative support to other team members with data entry, paperwork, photocopying, etc. when needed • Organize, research online, and make reservations for employee travel. • Keep the front office secure by ensuring all visitors follow proper sign-in procedures. • Manage individual calendars for multiple employees. • Encourage potential new clients to make an appointment and to hire the firm. • Make multiple follow-up calls, emails, and text messages. • Produce simple Excel spreadsheets and enter client contact information. • Engage in marketing activities and seek customer reviews. • Collect money. • Keep files organized. • Keep the CEO organized. Qualifications: • Must have graduated high school, received a G.E.D. or equivalent • Proficient computer skills and knowledge of Microsoft Office • Possesses strong customer service skills, interpersonal skills, organizational skills, and time management skills • Well-versed in taking telephone calls and handling stressful situations • Able to be a compassionate listener. • Must be available to work onsite Monday-Friday 8:30 to 5:30. • Must have at least 4 years of relevant office experience. • Must be professional in speech and dress. • Must be reliable and consistent in attendance. Compensation: $30,000 yearly
