    We're looking for an organized and proactive Executive Assistant to support our growing team at Houze Buyers. This role involves a mix of clerical and onsite tasks, so we're seeking someone who can easily adapt and anticipate what's needed to keep things running smoothly. Ideally, you will be located within 15 miles of Conroe, TX. You'll manage two or more calendars, help streamline office time for our team, and handle CRM management. Strong phone skills are a must, and being bilingual in Spanish and English is a big plus. If you're a self-starter who’s comfortable working independently in a small but expanding office, and you have a knack for managing busy schedules and staying ahead of tasks, we’d love to meet you! Responsibilities: • Manage multiple calendars effectively, ensuring all appointments and meetings are scheduled promptly and that commitments are met. • Oversee the CRM system (PipeDrive) to ensure project tracking and deal progression are supported through updated data and adherence to processes. • Handle high-volume email communications proficiently, managing responses, scheduling meetings, and ensuring timely follow-ups. • Prepare contracts, documents, and agreements accurately, ensuring they are processed efficiently using DocuSign when required. • Communicate with contractors, suppliers, and vendors to schedule services, obtain bids, and oversee ongoing projects effectively. • Identify opportunities for process improvements and implement streamlined operations to enhance efficiency. • Provide on-site office support by managing mail, and office supplies, and ensuring prompt handling of administrative tasks and bills. • Assist in real estate operations by following up with title companies, managing pending deals, coordinating property flips, and maintaining project overviews. • Manage and supervise virtual assistants to ensure the effective and efficient completion of tasks. Qualifications: • Education Requirements for this Executive Assistant position in Conroe, TX, US include a high school diploma or equivalent qualification. • The ideal candidate should have at least 2 years of experience in Executive Support and a minimum of 3 years of experience in Administrative support roles. • Proficiency in Microsoft Office applications such as Outlook, Word, and Excel, along with experience in QuickBooks and Google Drive is required. • Strong Organizational Skills are crucial for this position, demonstrating the ability to manage multiple projects efficiently and meet deadlines. • Attention to detail is a key requirement, especially in managing documents, contracts, and entries in the CRM system. • The candidate should be adaptable and flexible, capable of handling various tasks ranging from administrative duties to providing support for real estate operations. • Tech-savvy skills are essential, including experience with Microsoft Outlook, CRM systems, and tools like DocuSign for managing workflows. • Excellent Communication Skills are necessary, and being bilingual in English and Spanish is preferred to effectively interact with clients, contractors, and team members. • Problem-solving abilities are valued, with the capacity to independently resolve issues that may arise in daily operations. • The candidate should be a Self-Starter, comfortable working autonomously in a small office environment, and taking initiative to manage tasks independently. • Experience in Operations is a plus, showcasing a proven ability to develop and implement effective processes. Compensation: $55,000 - $70,000 yearly
