The Transactions Coordinator will manage and process real estate sales and leasing transactions from the inception of the client's search for property or the listing of the client's property, through the execution of the transaction and beyond the end of the transaction into the post-transaction client services delivery to retain the client and earn referrals from the client. The Transactions Coordinator will also ensure that clients have a seamless, smooth, experience with us, and receive absolutely excellent service where all their needs are not only anticipated but serviced before they ask. The service delivered is to be done the right way the first time with no or minimal rework. This is important as we work by referral, and this attitude towards clients produces our future business without advertising or performing heavy client prospecting. The scope of this position is wide-ranging in that anything the client needs or wants is part of the service delivery of this position. Transaction coordination is a big part of the position's activity, but so is helping clients search for property, as well as providing research and information needed to help the client make decisions on listing their property or to help determine which house to purchase or lease. This position is key for our small company and professional care, appropriate and respectful communications, and intense attention to detail, and thorough command over the execution of all required work products is essential. Responsibilities: • Coordinate our transactions in their entirety from inception through closing and beyond as an executive assistant to the lead agent. These transactions are comprised of primarily residential real estate purchases, sales, and leasing for tenants and landlords. • Follow transactions and their files from start to finish, ensuring that all the work on the checklists for the transactions are completed during the term of the transaction and post-transaction closeout and filing. • Follow all details of the transaction and revise/adjust agreements, contracts, amendments, instructions, and information for all participants in the transaction, especially clients, to ensure a smooth continuous transaction without unnecessary diversions, miscommunication, and any other disruptions. The details of transactions and of clients’ requirements are an essential part of this position. • Coordinate work between the client, the assigned realtor, the title company, the loan officer, vendors, the relocation company, and any other entity that is involved in completing the transaction. • Under direction from the assigned realtor, initiate listing agreements, buyer representation agreements, purchase contracts, and related documents, and revise as necessary. • Prepare these documents and send them for signatures under the guidance and supervision of the assigned realtor to the required parties using electronic signature apps like DocuSign. • Perform research necessary based on client property showings. Generate reports from MLS and compile a set of property documents providing in-depth information we provide to the client, when necessary. • Check back on past transactions for the property and/or client and bring forward relevant information from past transactions. • Assist in scheduling showings and mapping showing tours, researching homes of client interest, coordinating showing activities between client and realtor, and other transaction-based tasks as requested. • Capture and file all email correspondence for the transaction in the transaction’s email filing system. File all documents related to the transaction in the online client-server folders and files. • Manage and operate a client relationship management system (CRM called Referral Maker). • Some amount of MLS uploading for property photos and documents. • Work with the Marketing Coordinator to prepare and assemble client gifts, closing gifts, and pop-bys. • Produce yearly CD and Closing emails transmitting CDs, Tax, and Homestead documents to assist clients at tax return filing time. • Produce anniversary CMAs monthly for all clients that are still in the house we most recently sold them. • Be a team player and work with the Marketing Coordinator to ensure that all transaction information needed for marketing is conveyed in a very timely manner. Assist with all client events planning, setup, implementing, and takedown. Qualifications: Key Skills Needed • At least approximately 1 year of residential real estate transactions or administrative experience is required for this position. • Detail-oriented, high level of attention to the "little things". • Attitude of Service towards all our relationships: “What else can I do to make it easier for you?” • Creative thinking, results-oriented, self-starter, outgoing, relational. • Strong Verbal/Written Communication and Visual Skills. • Strong telephone skills and etiquette to converse with clients, vendors, title companies, lenders, and prospects. • Strong Computer Skills, some IT skills preferred and must be tech-savvy. • The ability to work with and adapt to sometimes instant client-driven changes in a confident and professional manner. • Strong typing, spelling, and document production skills, especially in Adobe Acrobat. • A skilled power user of Microsoft Office 365, Canva, Adobe Acrobat, Outlook, and web-based industry applications. • Be proficient in quickly learning and utilizing web-based applications. • Ability to work independently and with a team, and to move quickly in a dynamic environment. • Quick learner with the ability to retain information and previously learned skills.
