    Job Description

    YOUR ROLE:  Be the first point of contact for clients during their onboarding process, help complete ongoing client needs by quickly and efficiently sending correct forms, and help maintain a clean and organize operational environment

    • Meet with clients and prepare paperwork for new accounts and transfers. (New accounts and transfers to be submitted in 24 hours of completed paperwork). 
    • Follow up on all pending transfers by checking carrier website or contacting the companies directly. Frequently communicate with clients regarding the activity of their accounts.
    • Follow up with clients with additional changes to the account beyond onboarding, including address changes, phone numbers, beneficiaries, and money movement in or out.
    • Add agent’s notes for each client meeting into database and assign action items to appropriate staff for follow-up.
    • Provide all internal queries and reports when needed and respond to NIGO information within 24 hours.
    • Keep check blotter up-to-date daily and client termination log up to date; Scan new client files within one week of completion of onboarding process.
    • Handle maintenance requests from clients by phone and send appropriate forms within 24 hours.
    • Check clearing firm’s site for transfer activity daily and maintain an updated listing of carrier websites, user IDs, passwords.
    • Run annual Required Minimum Distribution Report in January, October, and December.
    • Create daily folders for client meetings with advisors and create/maintain a new business log for advisor’s pending and paid business. 
    • Call contra firms with customers to liquidate or move their money from 401k plans.
    • Monitor reports in Orion and open new accounts on a weekly basis; provide backup for the Client Service Representative as needed.

    WHY YOU ARE THE RIGHT PERSON: 

    • 1+ years of experience working at a professional services business (accounting, legal, FINANCIAL PLANNING-PREFERRED, etc.)
    • Associates degree.
    • Filing and account paperwork processing (PREFERRED).
    • Strong working knowledge of Microsoft Office Suite.
    • Self motivated,  professional, able to work independently and with a sense of urgency.
    • Excellent communications skills.
