    Job Description

    AECOM is seeking a Facilities Coordinator to join the DCS AMER Real Estate Group. This role will provide comprehensive support to the West Regional Facilities Manager, assisting with a variety of tasks that ensure the smooth operation of AECOM’s facilities across the West Region. This includes occasional responsibilities within the Canadian Region.

    This will be a hybrid position including a combination of both remote and in-office that will be based in Denver, CO.

    Job Responsibilities will include, but not be limited to:

    Daily Responsibilities :

    • Email Management: Promptly address incoming emails and assess incident-related communications.
    • Procurement Duties: Oversee invoice approvals, process purchase requests, track invoice payments, handle invoice coding and submissions, reconcile invoices, and manage supplier setups among other related tasks.
    • Occupancy Tracking: Maintain and update the occupancy log as required.

    Weekly Tasks :

    • Occupancy Reporting: Prepare and disseminate the occupancy report.

    Monthly Obligations :

    • Financial Documentation: Handle monthly billing and invoice processing.
    • Ongoing Support:
    • Communication: Answer calls pertaining to West Region office issues and provide assistance to team members.
    • Documentation: Keep regional team workbooks and files current with the latest updates.
    • Meeting Participation: Attend meetings, take detailed notes, and list action items for team members.
    • Ad-hoc Assistance: Provide support for non-routine office tasks as they arise.
    • Project Involvement: Support for various tasks and projects on an as-needed basis.
  • Qualifications

    Qualifications

    Minimum Requirements:

    • BA/BS + 2 years of relevant experience with facilities management and/or administrative activities or a demonstrated equivalency of experience and/or education

    Preferred Qualifications:

    • Previous database data entry, reporting and/or data analysis and presentation is preferred
    • Strong Mathematical skills to help collect, measure, organize and analyze data
    • Problem-solving skills and the ability to maintain a schedule
    • Accuracy and attention to detail; ability for critical thinking
    • Team player, flexible, multi-tasker, excellent sense of customer service, and "can do" attitude
    • Must have excellent communication skills - writing, interpretation, judgment, and interpersonal style
    • Advanced skills in MS Office suite - Excel, Word, PowerPoint, Outlook, Teams
