The Academy House Condominium Association is seeking an experienced Facilities Manager for its luxury, high-rise condominium community in Center City Philadelphia, PA. The Academy House Condominium Association offers an excellent opportunity with a salary ranging from $90,000 - $115,000 based on experience and a benefits package, including medical, dental, 401K, paid vacation, holidays, and PTO. The Facilities Manager will provide the highest possible level of customer service and support for all aspects of property maintenance and operations. The Facilities Manager will help manage and supervise the work of in-house staff and contract service providers in the performance of building operations, maintenance, repair/restoration, and housekeeping and tenant services. The Facilities Manager will also be responsible for managing building professional and construction services to include MEP, Structural, HVAC, Electrical, Plumbing and all construction trades. Responsibilities: General Responsibilities • Responsible for efficient operation and physical condition of the building complex. Ensures that buildings, systems, equipment and grounds are properly maintained and in compliance with codes, industry standards and best practices for facility operations and maintenance. • Ensure that proper safety precautions are taken for personnel, residents, guests, property and equipment according to Association policies and procedures. • Prepare annual operating budgets and monitor and controls expenses of the Maintenance Department. • Conduct periodic inspections of the property, determine physical condition and take appropriate action to ensure safe and proper operation. • Assess the age, condition, and useful life of building systems and equipment to determine repair needs and capital requests. Issue reports outlining items inspected, accomplished and in need of completion. • Develop and implement plans, systems, and procedures for building maintenance and improvements. • Implement weekly, monthly, quarterly and annual calendar, documenting required maintenance of all aspects of physical systems and infrastructure of the complex. • Initiate, organize supervise building operations and makes improvement recommendations as appropriate. Evaluates and assists residents in every regard of work orders and projects. • Inspect the work of those supervised to validate that it meets trade and Association standards and to make sure all employees and trades people conduct themselves according to Association policies. • Ensure and verify that all required work permits and authorizations are in place for in-house and contracted work prior to the commencement. Serves as the primary interface between Association and Municipal Building Department and state and local officials. • Develop and advertise specifications for contract services. Receive and review bids in accordance with the established bidding procedures. Work with the appropriate professionals to assist in the preparation of technical specifications and contracts consistent with budgeted monetary constraints and directives. • Participate in contract review, inspection and administration. Coordinate with the Association’s Council (board of directors), other members of the management staff, consultants, and general counsel as needed. • Oversee the purchasing, inventory controls, and supply inventory levels. Prepare and submit budget recommendations, and continually evaluate all phases of building operation to enhance operating efficiency and maximize cost effectiveness. • Responsible for documenting all physical elements, systems and equipment of the complex. Review the same on a periodic basis to serve as a training tool for existing and new maintenance staff. • Responsible for supervising, developing, and training staff. Conduct weekly supervisor meetings to resolve problems and coordinate departmental communications. • Maintains accessibility to all residents and community staff through high visibility and excellent communications. • Be available to respond to emergencies at the property, as necessary. Be available for weekend inspections, and weekday evening committee meetings and other events as required. • Brief the General Manager daily and provide Weekly Action Lists on the status of projects and ongoing operations. Supervisory Responsibilities • Manages subordinates and supervisors responsible for building maintenance, housekeeping, and tenant services. Effective control and utilization of manpower, materials and equipment allocated to them for a • specific task. • Responsible for the overall direction, coordination, and evaluation of the Maintenance Department. Reviews, plans, and coordinates all job assignments, sets work priorities, makes cost-effective assignment decisions, and ensures the completion of projects in a timely, efficient, and effective manner, in accordance with all established guidelines/standards. • Responsible for interviewing, hiring, and training employees; planning, assigning, and directing work; appraising performance; rewarding and disciplining employees; addressing complaints and resolving • problems. • Maintains safe practices and procedures. Assure compliance with appropriate safety practices and procedures and with applicable federal, State and local codes, regulations and requirements. Drives the • maintenance safety program and provides safety training for all maintenance employees. Qualifications: • Bachelor's degree in Engineering, Construction Sciences or other applicable field, or a combination of education and relevant experience in a Facility Management capacity. • 5- 10 years’ experience in facilities maintenance and operations management in a supervisory capacity with strengths in Mechanical, Electrical, Life Safety and Fire Protections Systems. Residential property experience, project management or new construction experience is a plus. • Strong technical knowledge and skilled at troubleshooting building MEP including HVAC, traction elevators, fire alarms and suppression systems, pumps, valves, motors, switches, timers and controls is a must. • Administrative experience, organizational ability, supervisory skills, demonstrated communicative ability, both orally and in writing. Proficient in report writing. • Capable of interpreting codes, regulations, standards, and governing documents of the Association. Capable of writing and reviewing Invitations for Bids (IFB’s), Requests for Proposals (RFP’s) and other bid documents in assorted disciplines. • Computer literacy is required; to include a proficient working knowledge of word processing and spreadsheet software. Proficient knowledge of Microsoft Project is preferred. • Consistent, dependable and accurate in carrying out responsibilities to a successful completion. • Neat, professional appearance and an aptitude for public relations in a customer service environment. • Prior experience in high-rise facility management, community management or governance is desired. LEED Accreditation a plus. Compensation: $90,000 - $115,000 yearly
