FACILITIES MANAGER

Founded in 1973, the Polynesian Voyaging Society’s mission is to perpetuate the art and science of traditional Polynesian voyaging and the spirit of exploration through experiential educational programs that inspire students and their communities to respect and care for themselves, each other, and their natural and cultural environments. Through voyaging, PVS hopes to inspire humanity to care for the earth by highlighting the vital importance of oceans, indigenous knowledge, communities, education and sustainability.
Position Purpose
The position of the Facilities Manager is to ensure the sustainable operation of PVS facilities in accordance with all relevant safety, environmental, legal, and internal policies and regulations. The Facility Manager carries the administrative responsibility - including direction, planning, and coordination - for the proper installation, operation, repair, modification, inspection, construction and preservation of buildings, grounds, utilities, mechanical and electrical systems of PVS facilities. Responsible for the coordination of development of plans and designs for renovation, modification, and new construction and overall responsibility for maintenance and capital project budgets. Additionally, the Facilities Manager coordinates with all facilities users to ensure smooth daily operations and scheduling and compliance with facilities policies.
Responsibilities
Oversees building and grounds maintenance.
Maintains a schedule of use calendar to coordinate use of facilities by PVS, UH/authorized users, and other users. Act as a point of contact for all users, contractors, and maintenance contractors.
Operates and maintains custodial functions.
Ensures that the facility is clean and maintained according to PVS policy and procedures.
Work with leadership and Board of Directors for long term facilities planning.
Ensures security and emergency preparedness procedures are implemented properly.
Must create, update and maintain policy in accordance with Local, State and Federal Laws.
Maintain a Fire Safety Plan and conduct monthly inspections for fire and hazardous conditions in a report monthly to UH.
Maintaining exemplary Environmental Compliance (both legal and PVS internal standards), especially during dry dock/construction.
Handles general accounting tasks related to requests for facility use forms. Coordinate and work closely with the finance department to ensure contracts and invoices are executed in a timely manner. Work with the finance department to submit budgets/financial reviews.
Oversees and supervises the quality of work for volunteers, contract personnel and other users to ensure that all tasks are performed correctly, efficiently, and effectively.
Manages and reviews service contracts to ensure that the maintenance and utilities are serviced.
Conducts and documents regular facilities inspections, to include equipment, facility and pier inspections.
Ensure all permits are submitted and current.
Review the insurance requirement to maintain contract obligations as well as to ensure that other users have submitted appropriate insurance certificates prior to usage of the facility.
Checks completed work by vendors and contractors.
Recommends maintenance, mechanical, electrical, and facility design modifications and equipment.
Communicates workplace safety precautions to employees and users. Create, update and maintain policy related to safety of building and use of all equipment.
Ensure that safety training for the use of equipment is maintained and tracked.
Forecasts, allocates, and supervises the financial and physical resources of the facility management.
The Facilities Manager is an in-person position that requires consistency and flexibility; the Facilities Manager works with fellow PVS staff to fill the facility access needs of PVS and other users.

Must demonstrate a professional demeanor in the workplace, including both their actions and language. Must also maintain respectful relationships with other employees, management, and vendors.
Maintains clear communication with managers, team members, users, and vendors.
Adequate inventory of supplies.
Maintain disaster recovery plan/business continuity plan.
Must demonstrate strong technical knowledge in relation to hazardous material, safety for fire, and maintenance of equipment and facility.
Skills
Proficient in Microsoft Office and Google Workspace (emails, drive, etc)
Excellent verbal and written communication skills
Able to navigate and properly utilize all management systems

Driver’s license with clean traffic abstract, able to drive organization’s vehicles
Required Knowledge/Experience
High school diploma or equivalent
Four yearsʻ experience in building/facilities management, construction, and administration
Five years’ experience as a supervisor, manager or equivalent
Relationships
The Facilities Manager works to fulfill the CEO and Voyaging Director’s vision and goals of the facility; the Facilities Manager works closely and reports to the Office Manager; the Facilities Manager also works closely with the Controller.
Salary Range & Benefits

Base salary range $70,000 to $80,000; negotiable around experience
