    Job Description

    The Facilities Workflow Administrator supports and enhances service desk operations within our facility services department at CMI’s customer site in Washington, DC. This position is also responsible for assisting the Facilities Manager with a variety of daily functions, providing vital support across administrative, logistical, and operational areas to ensure efficient facility operations. This role is essential to the smooth and timely coordination of service requests, technician dispatch, and comprehensive administrative and financial support.

    Key Job Functions

    • Respond to service desk requests and collect all pertinent information, including: description of the issue, location, date/time, priority, and any other relevant details necessary to generate accurate work orders in internal systems.
    • Assign a unique work order number to each service request and coordinate with appropriate technicians for response and resolution.
    • Process expense vouchers, generate and run reports, and maintain spreadsheets and tracking documentation.
    • Incorporate quality control measures and actively monitor workflow accuracy and consistency.
    • Continuously assess and identify opportunities to streamline and improve workflow processes within the facilities support function.
    • Perform a range of administrative support activities, including:
      • Accounts receivable tracking and documentation
      • Purchase order processing and reconciliation
    • Carry out additional administrative tasks related to Helpdesk and Dispatching, as needed.
  • Qualifications

    Qualifications

    • High School Diploma; Associate’s degree or equivalent formal education preferred
    • Minimum of three (3) years of recent (within the past five years) service desk experience in complex commercial or institutional facilities, specifically involving operations & maintenance (O&M) and janitorial services.
    • Must be a U.S. citizen or permanent resident alien.
    • Must pass a background check and be able to obtain security clearance.
    • Strong computer skills and experience with a variety of software programs; highly proficient in Microsoft Office 365.
    • Excellent verbal and written communication abilities.
    • Demonstrated capability to function both independently and as part of a collaborative team.
    • Skilled in preparing reports, consolidating data, and producing administrative correspondence.
    • Bilingual in Spanish (written and spoken) is a plus.
    • Facilities experience strongly preferred.
