Facility Manager & Fleet Coordinator
Position Summary:
The Facility Manager / Fleet Coordinator is responsible for overseeing the operation, maintenance, and safety of the organization’s facilities and vehicle fleet. This dual-role position ensures that buildings, equipment, and vehicles are efficient, compliant, and well-maintained while providing a safe and productive environment for employees and supporting organizational logistics. Additionally, this role manages inventory, PPE supplies, chemical handling, waste recycling, and coordinates with a laundry service for field staff needs. The position will work closely with Operations Managers for HVAC, Plumbing, Electrical, and Restoration to effectively address operational, facility, and vehicle-related requirements.
Key Responsibilities
Facility Management
Operations and Maintenance
Manage day-to-day operations of facilities, including cleaning, maintenance, and repairs.
Develop and implement preventive maintenance schedules for building systems (HVAC, plumbing, electrical, etc.).
Oversee contractors and service providers for facility-related services.
Safety and Compliance
Ensure facilities comply with all local, state, and federal regulations, including building codes and safety standards.
Conduct regular inspections to identify and address safety risks.
Develop and enforce workplace safety policies and emergency response plans.
Space Planning and Resource Optimization
Plan and manage office layouts, seating arrangements, and facility utilization.
Coordinate office relocations, renovations, or expansions.
Optimize energy use and implement sustainability initiatives.
Inventory and Supply Management
Oversee inventory duties, including stocking, counting, ordering, and restocking materials and supplies.
Manage and distribute PPE supplies to ensure availability for all employees.
Handle and monitor chemicals, including refrigerants, oxygen, acetylene, and oils, ensuring proper storage and compliance with safety protocols.
Coordinate physical waste disposal and recycling efforts to maintain environmental standards.
Field Staff Laundry Coordination
Serve as the point of contact with the laundry service provider to ensure timely pickup and delivery of field staff uniforms and related items.
Track inventory of laundered items and ensure field staff have access to clean and properly maintained uniforms.
Address any service issues with the laundry provider to maintain service quality.
Budget and Resource Management
Prepare and manage facility budgets, tracking expenses and seeking cost-saving opportunities.
Oversee procurement of equipment, supplies, and services related to facility operations.
Fleet Coordination
Fleet Operations Management
Oversee the day-to-day operations of the fleet, including vehicle assignments and utilization.
Maintain schedules for vehicle usage and ensure vehicle availability aligns with operational needs.
Manage acquisition and disposal processes for fleet vehicles.
Maintenance and Repairs
Schedule and track regular vehicle maintenance and repairs.
Liaise with mechanics and vendors to ensure timely and cost-effective repairs.
Maintain detailed records of maintenance activities and expenses.
Safety and Compliance
Ensure fleet compliance with all regulations, including vehicle registrations and inspections.
Conduct regular vehicle inspections to uphold safety and compliance standards.
Driver Coordination and Support
Communicate with drivers regarding vehicle schedules, policies, and performance issues.
Maintain records for drivers, including licenses and certifications.
Shared Responsibilities
Coordination with Operations Managers
Collaborate with Operations Managers for HVAC, Plumbing, Electrical, and Restoration to address facility, inventory, fleet, and field staff laundry-related issues.
Assist in scheduling and prioritizing vehicle use, maintenance, inventory needs, and uniform availability to meet operational demands.
Ensure alignment between fleet, facility, and inventory operations and departmental needs to maximize efficiency.
Documentation and Reporting
Maintain accurate records for facilities, fleet, inventory, laundry coordination, and supplies, including maintenance logs, expenses, and compliance documentation.
Generate regular reports on facility, fleet performance, inventory levels, and cost management.
Team Leadership and Collaboration
Supervise facility, fleet, inventory, and laundry coordination staff, including maintenance personnel, custodial teams, and drivers.
Serve as the primary contact for facility, fleet, inventory, and laundry service operations and issues.
Other Duties
Perform other duties as assigned to support organizational needs.
Qualifications
High school diploma required; a bachelor’s degree in facilities management, logistics, business, or a related field is preferred.
Proven experience in facility and fleet management or a related role.
Strong knowledge of building systems, vehicle maintenance, inventory management, and safety regulations.
Proficient in facility and fleet management software.
Excellent communication, organizational, and problem-solving skills.
Valid driver’s license with a clean driving record.
