Position Summary:
We have an exciting opportunity to join our team as a Faculty Group Practice Practice Operations Manager.
In this role, the successful candidate Responsible for providing administrative and operational leadership to clinical operations, practices and services in the FGP. Provides direct oversight of the development clinical practices and services. Works closely With FGP leadership in assisting in planning and implementation of improvements and new initiatives. Responsible for practice operations, human resources management, the patient experience and patient satisfaction, facilities management, information technology and clinical systems, business development, and organizational development. Supervises, develops, evaluates and hires staff; provides counseling and progressive discipline pursuant to NYU HR policies. Works collaboratively with revenue cycle management, FGP Administrators and FGP Leadership and other key stakeholders.
Job Responsibilities:
• Clinical Operations: Monitors and evaluates workflow and productivity to ensure efficiency of systems and processes. Identifies and develops opportunities to improve operations. Establishes goals and objectives to enhance services. Monitors physician schedules, assures appropriateness of support staffing, resolves patient complaint/issues and escalates as needed. Establishes operating policies and procedures for a comprehensive and systematic approach for delivery of quality patient care. Achieves excellent quality, patient-centered and timely delivery of services consistent with departmental objectives. Ensures adherence to department, institutional and regulatory agency requirements. Works with clinical research team to optimize processes for recruitment of patients for clinical trials.
• Patient Experience: Develops and leads department patient satisfaction, patient-centered care, customer service and access initiatives. Represents department on institutional committees. Creates internal processes and systems to participate in pay-for-performance and other incentive programs to enhance health care quality. Monitors service delivery and outcomes (Press Ganey). Identifies opportunities for improvements, plans for change and expansion, involves and collaborates with others, develops teams and work-groups, and implements approved solutions. Measures effects of changes and makes revisions as needed to reach desired outcomes. Monitors and reports results of patient satisfaction surveys and leverages data to improve the patient experience.
• Human Resources Management: Assists in developing and monitoring effective staffing plans, coverage and scheduling strategies. Oversees recruitment, on-boarding, and new employee orientation process. Oversees performance and salary, promotions and disciplinary actions. Manages employee relations issues to resolution. Develops and monitors payroll, overtime and leave policies and controls. Provides systems, processes and structure for administrative training and ensures training needs are met. Fosters growth and development of staff through effective coaching and by coordinating opportunities for continuing education, skill development and career growth. Assists in designing and developing employee incentive and recognition programs to motivate and retain top performing
staff. Participates in organizational development and succession planning.
• Financial Management: Assists in financial management in collaboration with FGP leadership. Analyzes practice activities and monitors budget to actual performance and benchmark sob Description
Works with Billing Coordinator, Revenue Cycle Manager, billing compliance, faculty and managers to ensure integrity and compliance in billing operations. Assists in participating in the development of
annual operating (FGP) budgets. Oversees and manages expenses within approved budgets.
• Facilities Management: Responsible for facilities management including state of optimal functioning, good repair, space and facilities planning, space utilization, and capital projects. Regularly inspects and evaluates maintenance needs of facilities, incorporates reports and complaints from staff & faculty, develops preventive maintenance (PM) schedule and budgets. Coordinates capital projects and renovations. Collaborates with RED + F, planners, designers, engineers, contractors, and vendors. Manage projects within budget. Reconciles space inventory and utilization with rent and space assessments. Develops and administers space and rent allocation methodologies.
• Information Technology: In collaboration with MCIT, EPIC and FGP administrators, implements and administers information systems and technology across the FGP. Reconciles IT and telecom
utilization, users, and billing. Assists in implementation of systems enhancement or new initiatives, including cost benefit analysis, start-up and annual operating budgets, operational impact analysis and implementation plans, including electronic medical records, digital dictation, imaging and research systems.
• Business Development and Marketing: Participates in planning, development and implementation of new clinical programs, services . Assists faculty in developing and maintaining strong referral relationships, identifying new sources of patients and revenue, organizing special events and programs, and developing marketing and other collateral materials. Ensures directories and websites are continuously updated, accurate and complete.
• Organizational Development: Represents department on committees and professional organizations. Participates in pilots, task-forces and presentations. Shares best practices across FGP sites.
• Develops formal and informal networks among peers. Routinely shares information regarding institutional operational and business matters and industry trends with FGP administration with recommendations for action.
• Maintains up-to-date Knowledge of: fiscal management and human resources management; principles & practice of health care administration; healthcare regulatory compliance and reimbursement requirements.
• Maintains knowledge of computer systems including EPIC electronic medical record and billing systems, interfaces between diagnostic equipment/PACS/EPIC, Microsoft office (Excel, PPT, Word)
• Core Competency Skills: possesses demonstrated competence in financial, operations, and budget management; competence in interpersonal and interdisciplinary communications; demonstrated experience in program planning, implementation and evaluation; and demonstrated problem resolution and decision-making.
• Demonstrated ability to integrate concepts of management with health care systems; establish and maintain quality control standards analyze expense reports; build teams; and forecast/anticipate and
manage change.

Minimum Qualifications:
To qualify you must have a Bachelor's degree in Health Care Administration or related discipline required. Minimum of 2-3 years of solid administrative, financial and supervisory experience in an academic medical center with faculty practice/ physician organization, research activities and academic activities. Candidate is required to become an EPIC super-user within 6.

Masters preferred

NYU Langone Health provides a salary range to comply with the New York state Law on Salary Transparency in Job Advertisements. The salary range for the role is $81,325.15 - $135,541.73 Annually. Actual salaries depend on a variety of factors, including experience, specialty, education, and hospital need. The salary range or contractual rate listed does not include bonuses/incentive, differential pay or other forms of compensation or benefits.
