  • Responsibilities

    SUMMARY

    The Final Exam Coordinator is responsible for the planning, preparation, and execution of all electronic examinations. The role requires strong organizational skills, attention to detail, and the ability to manage multiple tasks simultaneously.

    ESSENTIAL DUTIES AND RESPONSIBILITIES include the following:

    Must comply with all aspects of the law school’s Customer Service Standards.

    Assist with all aspects of the midterm and final exam process, including:

    · Assist with the development and maintenance of the exam schedule

    · Oversee the setup of the exam venue

    · Train and utilize Examsoft software for midterms and finals

    · Conduct training sessions for faculty, staff, students, and faculty support

    · Upload exam numbers, assist faculty and faculty support with exam creation, and assist with escalated Examsoft issues

    · Assist with all aspects of the electronic exam processing, including exam set up, administration and reconciliation

    · Monitor exam security to prevent cheating or any other forms of misconduct

    · Coordinate with proctors and other exam staff to ensure smooth exam administration

    · Resolve any issues that arise during the exam administration

    · Generate reports on exam logistics, attendance, and performance for faculty, staff and other administrators

    · Provide feedback on the effectiveness of exam processes and suggest improvements when needed

    Assist with front counter management, including:

    · Greeting visitors at the front desk and assisting with all questions

    · Creating and maintaining student forms and records in the digital filing system

    · Answering and responding to calls and Student Services emails in a professional and courteous manner and provide information or take messages as needed

    · Running registration and financial aid reports and updating student data in Banner

    · Completing requests for education verification, enrollment verification, Dean’s Character and Fitness forms, out-of-state bar certifications, name and address changes, letters of standing, and other documentation requests as necessary

    Assist with training of new staff members and updated training of current staff

    Support continuity among work teams by documenting and communicating actions, irregularities and continuing needs

    Handle special administrative projects, including overflow from departmental colleagues

    Participate as needed in special departmental projects

    Observe strict student confidentiality at all times

    Keep safe, clean and welcoming reception area and common areas at all times.

    Complete projects and all other duties as assigned.

    Must be computer literate with proficiency in MS Office applications (Word, Excel and PowerPoint) with ability to learn new programs as necessary.

    Must be detail-oriented and able to work in a fast-paced multi-tasking environment.

    EDUCATION and/or EXPERIENCE

    EDUCATION

    High school diploma or equivalent.


    LANGUAGE SKILLS

    Proficient in both spoken and written English. Ability to interpret and explain complex data. Ability to effectively and professionally communicate in one-on-one and small group situations to students, alumni, clients, and other employees of the organization.

    MATHEMATICAL SKILLS

    Ability to perform basic to intermediate math essential. Must possess the ability to analyze numerical data and detect patterns, errors and trends.

    REASONING ABILITY

    Ability to define routine problems, collect data, establish facts, and draw valid conclusions to solve routine problems and/or deal with a variety of variables in situations, especially when department head may be out of office or unavailable. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.

    Ability to address and resolve issues that arise before, during, and after exams.

    Handle sensitive exam-related materials and student information with discretion and integrity.

    Ability to multitask and work under pressure.

    While performing the duties of this job, the employee is regularly required to sit and talk or hear. The employee is regularly required to stand and walk. Ability to lift up to 20lbs. is required. Lifting from floor level, at waist, and above shoulders required. Infrequent bending and stooping necessary. Specific vision abilities required by this job include close vision in order to accurately input data and proofread; distance vision in order to recognize and assist visitors to the department.

    Extremely fast paced, multi-tasking, non-smoking work environment. Must be able to work the general business schedule of the College (9:00 a.m. to 5:30 p.m.) evenings and weekends. This includes 23 days/nights when final exams are administered throughout the year. Physical attendance is mandatory during this time, and daily hours may range from 8:00 am to 10:00 pm.
