About the role:

We are looking for a Part-time Billing Specialist to support our finance team by serving as an essential front-line contact between Five x 5 and our customers. This role ensures accurate and timely billing for our products and services, addresses customer inquiries, and manages communications for renewing distillery partners. You will play a crucial role in keeping our finances organized by overseeing accounts receivable and managing reporting and ledger entries for billing and receivables activity.

Key Responsibilities:

Accounts Receivable Administration (40%)

• Raise, issue, and record all monthly billing activity, including invoices, credit notes, and refunds.
• Process and record transactions with US and international customers.
• Manage billing and communications for new customer setups, renewals, contract amendments, and changes in billing cadence.
• Oversee collections of outstanding debt and calculate bad debt provisions.
• Ensure revenue is recognized within the correct period and perform revenue reconciliation.
• Create and maintain Accounts Receivable and Billing documentation, including processes and best practices.
• Deliver mid-month and month-end reporting, including Accounts Receivable ledger.
• Ensure sales tax accuracy and compliance across states and customers.
• Produce and distribute key Accounts Receivable reporting and KPIs

Customer Communications (30%)

• Provide exceptional customer service to internal and external stakeholders through written and oral communications.
• Manage the billing inbox and Slack channel, addressing all external and internal queries promptly.
• Build and maintain professional relationships with our customers, managing a portfolio of over 1,000 accounts.
• Resolve billing queries and complaints efficiently, ensuring high levels of customer satisfaction.
• General administrative duties such as communicating renewals, price increases, and billing updates.

Treasury/Bank Activities (20%)

• Allocate cash received (wires, ACH, credit cards, checks) against invoices and customer accounts.
• Perform mid-month and end-of-month reconciliations for multiple bank accounts.

Finance Team Collaboration (10%)

• Assist in all aspects of Five x 5’s finance operations.
• Participate in team discussions, share knowledge, and complete assigned projects within scope and timelines.
• Assist with month-end, quarter-end, and year-end activities as needed.

Minimum Experience & Education Requirements:

• 2+ years in an Accounts Receivable/Billing Specialist or similar role.
• 1 year working with billing software (Preference: Chargebee).
• 1 year working with accounting systems like Microsoft Dynamics Great Plains.
• Experience working in a hybrid, distributed, or fully remote team.
• High School Diploma or equivalent.

Knowledge, Skills, and Abilities:

• Strong attention to detail and excellent written and verbal communication skills.
• Ability to build and maintain strong relationships with internal teams and customers.
• Highly organized with excellent time management and multitasking skills.
• Proficiency with MS Office Suite (especially Excel), and experience navigating finance systems.
• Ability to work under pressure and handle multiple activities in parallel.
• Professional, confident manner with a willingness to learn new skills.
• An interest or passion for the regulated beverage or craft spirits industries.

What We Offer:

• Salary: $20.00/hr - $30.00/hr based on experience.
