The Opportunity
Irvine Public Schools Foundation (IPSF), an education non-profit headquartered in Irvine, CA, currently has an immediate opening for a Finance Assistant to join our team. The successful candidate will be responsible for assisting with general finance matters and performing clerical functions incidental to financial activities to support the efficient operation of the Finance Department.
RESPONSIBILITIES:
Essential Duties and Responsibilities
Manages all aspects of the payables process including processing invoices, obtaining proper approvals, preparing checks for signers, and coordinating distribution of payments.
Prepares weekly packet for Bookkeeper including organizing deposit records, payable requests, and other items for entry into QuickBooks.
Works closely with Bookkeeper including coordination of pick-up/delivery of weekly packet.
Manages Petty Cash account, including collection of receipts, requesting replenishment when needed, and making entries into QuickBooks.
Serves as backup support for accounts receivable, ensuring timely banking activities.
Maintains department financial records and files, assists with management of record retention and disposition.
General Administrative Support:
Performs general office duties, including, but not limited to processing daily incoming mail, postage meter monitoring, answering phones, and responding to inquiries.
Assists with IPSF events and community events as needed.
Drives personal car on work errands and for other purposes; maintains driving record and personal car insurance in accordance with organization’s policies and state regulations and provides related records periodically.
KNOWLEDGE, SKILLS, AND ABILITIES
· Uses critical thinking skills to create documents and spreadsheets and interpret information furnished in written, oral, diagram, or schedule form.
· Uses skill and judgment to problem-solve to ensure written or verbal outputs are clear, accurate, grammatical and of appropriate tone.
· Must be well-organized and have the ability multitask, set goals and meet deadlines.
· Able to formulate appropriate responses to requests for services and information from internal and external customers.
· Maintains current knowledge of and complies with organizational and department policies and procedures.
· Has good general knowledge of computer operations; uses a keyboard and calculator proficiently and with a high degree of accuracy.
· Proficiency in Microsoft Office tools such as Word, Excel, Outlook, and Teams highly preferred.
· Working knowledge of QuickBooks and basic accounting principles preferred.
· Good mathematical skills required.
EDUCATION AND EXPERIENCE
· High school diploma required.
· Associate’s degree a plus.
· Two to three years of office experience performing detailed tasks required.
· Experience working in finance preferred.
COMPENSATION:
This is a part-time, non-exempt position with hourly compensation ranging from $19-$23/hr. commensurate with experience. Typical hours would be Monday through Friday, 4 hours/day (within our normal office hours of 8:30am to 5:00pm) with occasional attendance at evening and weekend events required. IPSF currently operates with a hybrid office schedule, two collaboration days in the office and three days remote.
