    Position Overview: The Finance and Administration Manager is responsible for overseeing the financial and administrative aspects of the agency. This position ensures that financial records are accurately maintained, budgets are adhered to, and the administrative policies and processes are efficient and compliant with regulatory standards. The Finance and Administrative Manager will support the Executive Director and clinical management team in decision-making and strategic planning.

    Key Responsibilities

    Financial Management

    Oversee the financial operations of the organization, including budgeting, accounting, and financial reporting.

    Prepare monthly, quarterly, and annual financial statements, ensuring accuracy and timeliness.

    Monitor and track the organization’s financial performance, ensuring proper allocation of funds.

    Manage cash flow, ensuring that funds are available for operational needs.

    Monitor revenue and expenses to ensure the agency is operating within its budget.

    Ensure accurate billing and coding for services provided and oversee invoicing, billing and accounts payable and receivable.

    Prepare and submit financial and administrative reports as required by regulatory bodies, grant funders, and the Board of Directors.

    Work with external auditors to facilitate audits and ensure compliance with financial regulations.

    Analyze financial data to provide insights for improving financial performance.

    Human Resources & Staff Support

    Provide support to the Executive Director in the recruitment, hiring, and onboarding process.

    Manage employee payroll processing, benefits management, and timekeeping.

    Maintain employee records and ensure compliance with labor laws and internal policies.

    Foster a positive and supportive work environment for all employees.

    Handle employee relations and assist with addressing any staffing concerns as needed.

    Assist with the coordination of staff training and professional development opportunities

    Administrative Management

    Oversee day-to-day administrative operations, including office management, supplies, and facilities.

    Implement and maintain policies and procedures to support operational efficiency.

    Manage office records and ensure compliance with document retention policies.

    Work with Executive Director to ensure compliance with Department of Children and Family Services (DCFS) licensing standards

    Billing, Insurance, and Medicaid Management

    Ensure accurate billing through the Electronic Health Record system, verifying insurance eligibility, and submitting claims directly from client records.

    Manage accounts receivable and track the status of insurance claims, ensuring timely reimbursement for services provided.

    Work with clinical team leaders to review insurance and Medicaid claims and oversee follow up with clients and insurance companies on unpaid or denied claims.

    Collaborate with clinical staff to ensure appropriate billing codes are used for services delivered and update billing procedures as needed.

    Strategic Planning and Reporting

    Work closely with Executive Director to develop and implement strategic financial goals for the agency.

    Assist in the preparation of long-term financial projections and planning.

    Provide data and analysis to support decision-making and policy development.

    Contribute to the development of business plans and service expansion strategies.

    Other Duties

    Handle special projects as needed, providing support for agency growth and development.

    Work with external partners, auditors, and regulatory agencies to address financial or operational matters.

    Qualifications

    Education

    Bachelor’s degree in Finance, Accounting, Business Administration, or related field. Master’s degree or professional certification preferred.

    Experience

    Minimum of 3-5 years of experience in financial management, accounting, or a related role, preferably within a nonprofit or healthcare setting.

    Experience with accounting software (Quickbooks) and Google Workspace (Google Docs, Google Sheets, etc.)

    Experience with managing payroll; use of ADP a bonus

    Knowledge of Medicaid and/or insurance billing preferred; if no experience, must possess a strong willingness and capacity to learn

    Skills

    Strong knowledge of accounting principles, budgeting, and financial reporting.

    Excellent organizational, time-management, and multitasking skills.

    Ability to manage multiple priorities and meet deadlines.

    Strong attention to detail and accuracy in financial and administrative tasks.

    Ability to communicate complex financial information to non-financial stakeholders.

    Experience working collaboratively with staff at all levels and fostering a team-oriented environment.

    Ability to handle confidential information with discretion.

    Compensation

    Full-Time: $80,000-$95,000 annually depending on qualifications and experience

    Part-time candidates also considered (up to 29 hours/week)
