    Job Description

    The role is to provide administrative assistance to the Food and Beverage department while ensuring effective verbal, written, and electronic communication with guests, F&B employees, and other hotel departments as necessary. The role requires a strong understanding of the demands of a fast-paced food and beverage environment, overall operations, and its administration. A calm demeanor, professional approach and strong computer skills are essential in the organization of the office and department.

    _ ESSENTIAL DUTIES AND RESPONSIBILITES include but not limited to:_

    • Consistently offer professional, friendly and engaging service
    • Assist with the administration duties and the day-to-day operations of the F&B and culinary departments
    • Weekly entering of schedules into the UniFocus/Watson software
    • Respond to sick calls and work with the managers and employees to schedule substitute
    • Assist in inventory and ordering
    • Act as a liaison between all other departments and the Food and beverage management team, communicate information about Talent & Culture needs, Catering and Sales requests, and last-minute information
    • Write, research and prepare reports, documents, menus and letters as requested by the management team
    • Collate the daily paperwork flow for EHC related audits
    • Arrange monthly staff general meetings
    • Maintenance and ordering of supplies for all office needs and office equipment including fax machine, photocopier, printers and computers
    • Maintain a daily log of anniversary dates, birthdates and vacation time for all employees as well as records for call outs and tardiness
    • Work with the PR department to help coordinate all campaigns relating to Food and Beverage
    • Schedule performance reviews
    • Daily edit of Payroll as needed, check and report all overtime for approval and review with the F&B leadership team including culinary
    • Daily processing, filing and tracking of all F&B vacation requests, both hourly employees and leaders
    • Daily supervision of the employee dining room: Staff, Food, Cleanliness and checklists associated with it
    • Monitor and track guest experience in TrustYou and OpenTable
    • Organize training needs for all F&B departments
    • Assist with the F&B training programs including LQA/Forbes standards, as well as audits to maintain and improve on the brand standard scores.
    • Ensure internal information for F&B and Culinary is updated in all POS systems and websites
    • Handle guests concerns, provide resolution, and ensure timely correspondence with guests
    • Printing of all kinds, including menus as required
    • Daily confirmations of the outlet reservations as needed
    • Assist Culinary leadership as needed
    • Other duties as assigned
  • Qualifications

    Qualifications

    • Previous experience in similar role required
    • Previous food and beverage experience in luxury hospitality an asset
    • Computer literate in Microsoft Office, PowerPoint, Excel, e-mail/Internet applications required
    • Digital photography program experience, InDesign preferred
    • Knowledge of UniFocus/Watson labor Management System, Knowledge of Timesaver
    • Two-way communication and proven advanced writing skills
    • Knowledge of Silverware POS system an asset
    • University/College degree in in Hospitality, Administration or Communication preferred
    • Able to work independently and must be multi-tasked
    • Thoroughly organized and motivated individual, and a self-starter
    • Excellent communication skills
    • Strong interpersonal and problem-solving abilities
    • Highly responsible & reliable
    • Ability to work well under pressure in a fast-paced environment
    • Ability to work cohesively as part of a team
