Job Description
The Fort Lee Housing Authority is seeking a Part-Time Administrative Assistant/Clerk. Qualified applicants must have excellent math aptitude and communications skills. Applicants must be courteous, reliable and organized and communicate with members of the public. Multilingual a plus (Korean or Spanish preferred).
This is an hourly, part-time position. Part-time employees working 20 hours a week or more earn paid vacation and sick time proportional to the number of hours worked per week. Position is located in Fort Lee.
DUTIES AND RESPONSIBILITIES INCLUDE, BUT WILL NOT BE LIMITED TO:
§ Types and transcribes letters, reports, and records from rough draft. Compiles and coordinates data for action by others.
§ Assists bookkeeper when needed.
§ Maintains, files and accesses records and data for rent increases and rent calculations.
§ Performs calculations related to rent and rent increases.
§ Screens incoming correspondence or calls. Responds to inquiries and requests from the tenants or the public.
§ Communicates information orally and in writing to members of the public.
§ Maintains rent records. Enters information into system.
§ Assists in preparation for meetings, including scheduling same and communicating with attendees.
§ Assists in preparing minutes of meetings.
§ Performs copying, mailings and assists other staff in administrative and clerical functions.
§ Performs other Authority activities, as requested.
§ Business conditions or Authority needs may require from time to time, at employer’s discretion, changes in job duties, responsibilities or location.
§ Hours may be flexible.
KNOWLEDGE, SKILLS AND ABILITIES REQUIRED:
§ High School diploma or GED. Associates degree or higher and/or certificate from training facilities desirable
§ Two years’ experience in administrative assistance, bookkeeping or clerical work or one year of clerical experience and a wide knowledge of modern office methods, practices and equipment
§ Computer literate.
§ Good mathematical skills
§ Effective speaking and listening skills.
§ Typing skills (accurate at 40+ words per minute).
§ Demonstrated ability to establish and maintain effective working relationships with departmental officials, employees and the general public.
§ Ability to read, write, understand and communicate in the English language.
§ Excellent organizational and filing skills.
WORKING CONDITIONS AND PHYSICAL REQUIREMENTS:
§ Must be able to physically perform the basic life operational functions of climbing, stooping, kneeling, crouching, reaching, standing, walking, pushing, pulling, lifting, fingering, grasping, feeling, talking, hearing and performing repetitive motions.
§ Must be able to perform light work exerting up to 10 pounds of force occasionally.
