Front Desk Administrative Assistant - Community Coordinator

Responsibilities: Front Desk Management • Responsible for manning the Front Desk during business hours. Answer phone calls, greet and assist customers and vendors. • Open and close the offic e daily, in accordance with the SOP. • Process Commission Checks and mail them the same day they are received. • MARIS : Update the Sales Board in and run reports every Monday and Thursday. Update agent information and billing. • Assist with Agent Billing , including printing slips and keeping store up to date with needs. • Maintain the Copy Log Count to submit monthly, in accordance with the SOP. • Provide office support to Agents & Leadership, including, but not limited to printing labels, entering new listings, making recruiting booklets, preparing listing binders and 11x17 Brochures, printing brochures and flyers, etc. Document charges on the Billing Sheet for billable items. • Provide onboarding and offboarding support for agents **** and teams. • Responsible for sending gifts from the office for bereavement, the birth of a baby, or a new marriage to an agent, staff member, or immediate family member. • Review the RedKey Facebook page monthly for vendor recommendations and add them to the Vendor List. • Support marketing team and leadership by creating events in Eventbrite for brokerage activities. • Manage the calendar for booking rooms via the front desk black planner or Event Space Calendar for each office. • Maintain office and patio spaces to promote a welcoming environment for agents, clients, and those enjoying our office. • Create, edit, and maintain Standard Operating Procedures (SOP) for systems and processes to keep us in an efficient flow. Help identify gaps in our processes that would benefit from SOPs and create them. • Other activities agreed upon and requested by the Leadership Team. Closing Support • Reserve conference rooms for Closings and book rooms for Title Closings. Prepare the letter boards with the client's name ahead of closing. • Provide support for closings, including providing closing trays of drinks and snacks and cleaning the conference rooms after closings. Inventory Management • Responsible for the inventory used in the office, including supplies, food, and drinks. Restock and replenish, as needed. • Manage RedKey Equipment , including Banners and Tablecloths. • Handle the issuance and return of Supras and signs , utilizing the log sheet on Google Drive. • Manage the RedKey store : ensure billing slips are completed and replenish items as needed and in accordance with the SOP. • Manage Closing inventory for food and drinks. Reorder supplies from approved vendors, as needed.
